Medica's Executive Assistant will work as part of our c-suite administrative team and will directly support our Chief Financial Officer. We are seeking a proactive professional with demonstrated experience working with a leadership team and who has the ability to interact with internal and external clients and colleagues at all levels. This position will have regular exposure to confidential material and requires the highest level of confidentiality.

Our Executive Assistant will be responsible for calendar management, meeting and event planning and preparing executive documents.

Additional Responsibilities Include:

  • Serving as a main contact between the leader and employees, clients and all external contacts
  • Organizing large meetings which may include multiple departments of the organization with the ability to re-prioritize and adjust to last minute needs and requests
  • Meeting support: preparing materials, coordinating room arrangements including technology
  • Booking travel arrangements and facilitating expense reporting
  • Presentation creation with a strong focus on PowerPoint

Successful candidates will be proactive with professional written and verbal communication skills as well as the ability to anticipate needs, use discretion when setting priorities and keep our Chief Financial Officer updated and aware of meetings, agendas, travel, upcoming events, incoming emails and other situations.

This opportunity will be based out of our office in Minnetonka, MN and will be an in-office position.

Qualifications:

  • High School Diploma, or equivalent; Associate's degree preferred
  • 4+ years of executive level administrative support experience required
  • Demonstrated ability to manage multiple calendars required
  • Experience supporting multiple executives within a fast-paced environment
  • Experience arranging virtual meetings and teleconferences on a variety of platforms required
  • Previous background working within and maintaining confidential information required

  • Ability to self-initiate, offer creative alternative thinking to develop and implement cost and performance efficiencies

  • Excellent project management skills
  • Excellent computer skills (Microsoft Office Suite)

The full salary range for this position is $67,100 - $115,100. Annual salary range placement will depend on a variety of factors including, but not limited to, education, work experience, applicable certifications and/or licensure, the position's scope and responsibility, internal pay equity and external market salary data.
