Job Description

The Executive Assistant will support the CIO, IT, Data & Analytics, and Transformation teams and facility. This candidate will be responsible for a wide range of areas including executive administrative support, project management, and manage miscellaneous facility needs. Proactive and independent judgment is required to plan, prioritize and organize a diversified workload and provide recommendations for changes in practices or procedures. There will be opportunities for this candidate to expand this role into additional spaces within the business.

Responsibilities

  • Complete a broad variety of administrative tasks for the executive team including: managing an active calendar of appointments; arranging detailed travel plans including international travel
  • Manage special projects from planning to execution as assigned by the leadership team
  • Provide miscellaneous support to the building including providing announcements, greeting guests, ordering supplies, managing package deliveries, etc.
  • Produce, edit and complete first drafts for communications to broad audiences, including written and PowerPoint
  • Attend Senior Leadership Team meetings and deliver on action items, including those of a sensitive or confidential nature.
  • Determine appropriate course of action, referral or response.
  • Utilize a transformational mindset to brainstorm, design and employ efficiencies to the position including automation, streamlining and implementation of new technologies.
  • Support in facilitation of large meetings and events (schedule, reserve adequate space, order and set up meals, print, send out pre-read materials, etc.)

Desired Experience

  • Prior Executive Assistant experience preferred
  • High School Education or GED
  • Project Management experience preferred
  • Advanced knowledge of Microsoft Outlook multi-calendar management and a strong proficiency in Excel, Word and PowerPoint
  • Strong organizational skills with attention to detail and a strong ability to multi-task
  • Self-starter who works effectively under pressure and with time constraints
  • Adaptable to readily changing priorities with the ability to provide a quick turnaround of unanticipated requests
  • Problem solving abilities with strong analytical skills
  • Excellent written, verbal and interpersonal communication skills
  • Have a positive outlook and motivate staff to achieve goals
  • Ability to communicate effectively with employees of all levels
  • Maintain the highest level of confidentiality regarding all sensitive, confidential and proprietary information
