Hybrid work

Udemy is headquartered in San Francisco with global offices in Australia, India, Ireland, Turkiye, and other US locations. Our robust hybrid work model spans San Francisco, Denver, Ankara, Dublin, and Melbourne.

This hybrid position requires two days per week in the office at the nearest hub.

About you: You are a dynamic, resourceful, highly organized individual who takes ownership over the details and loves to get things done. You have a strong sense of urgency and the ability to work independently with sound judgment.

About your Skills:

  • Organization: Ability to efficiently manage multiple tasks, schedules, and priorities in a fast-paced environment.
  • Attention to Detail: Keen eye for detail in handling administrative tasks, proofreading documents, and managing data accurately.
  • Problem-Solving: Resourcefulness and adaptability to address challenges, find solutions, and make informed decisions independently.
  • Discretion: Excellent communication, discretion, and the ability to to prioritize and manage multiple tasks in a fast paced environment.

About this role

You'll provide high-level administrative support to executives within our organization. This often involves managing schedules, coordinating meetings and travel arrangements, handling correspondence, and assisting with various projects and tasks to ensure the smooth operation of the executive's office. Additionally, you will act as a gatekeeper, managing communication flow and serving as a liaison between the executive and internal/external stakeholders.

What you'll be doing:

  • Calendar & Meeting Management: Scheduling appointments, meetings, and events for the executive, optimizing their time and prioritizing tasks effectively; including booking venues, preparing agendas, taking minutes, and following up on action items.
  • Travel Coordination: Arranging travel itineraries, accommodations, and transportation for business trips, ensuring smooth and efficient travel arrangements.
  • Communication Handling: Serve as the primary point of contact for internal and external stakeholders, including screening and directing phone calls and emails.
  • Administrative Support: Prepare, maintain and organize documents, ensuring accuracy and confidentiality of information.
  • Relationship Management: Serving as a liaison between the executive and internal/external stakeholders, building and maintaining professional relationships on behalf of the executive.
  • Project Coordination: Assist with special projects as assigned, including presentations.Collaborate with other EO staff to ensure seamless coordination workflow and communication.

What you'll have

While this work is based more on the skills a person has than what they have done, we think a typical profile could include the following:

  • 5+ years experience as an EA, Project Manager, or relevant administrative experience.
  • Excellent verbal and written communication skills, with a high level of professionalism (either 1:1 or with large groups)
  • Strong relationship builder - you have a track record of taking the time to get to know your key stakeholders, understand their needs and working styles and you know how to coordinate people to get things done
  • Ability to work independently and collaboratively in a team environment while interfacing with various levels of staff. Collaborative problem solving skills to find the best solution collectively.

Actual compensation for this role is based on several factors, including but not limited to job-related skills, qualifications, experience, and specific work location due to differences in the cost of labor. In addition to a base salary, this role is also eligible for benefits and equity.
