Overview

TRC is seeking an Administrative Coordinator/Customer Service Representative to support program operations for the delivery of a large commercial energy efficiency program in Oregon and SW Washington. Through the program, we deliver cash incentives to customers in commercial facilities and multifamily buildings to help make electric and natural gas energy efficiency upgrades possible.

In this role on the Operations team, you interact with local customers implementing energy efficient equipment projects. Your ability to gather relevant information permits determination of customer eligibility for various incentives/rebates. You communicate program information, including eligibility, to customers and provide guidance on appropriate next steps to participate in the program offerings.

This role is a hybrid position located in Portland, Oregon. You work in the TRC office one to two days per week, providing additional front office support, such as receiving, reviewing, and routing postal mail, deliveries, and shipments.

Responsibilities

  • Receive and log incoming project applications and send acknowledgements to customers and contractors.
  • Learn technical details and requirements on incentive applications.
  • Determine eligibility for program participation.
  • Communicate eligibility determinations and program offerings via phone and/or email to customers.
  • Update and maintain accurate data via CRM systems, to include but not limited to: Customer contact information, project details and notes, remaining project tasks, etc.
  • Coordinate and track the details for multiple on-going projects in various stages.
  • Prioritize internal and external communication requests in accordance with project timelines and objectives.
  • Create project file setup according to established procedural and quality control guidelines.
  • Communicate anticipated and actual project completion concerns to stakeholders.
  • Answer customer and contractor calls via call center software
  • Provide outstanding customer service with excellent communication skills and a positive attitude when addressing detailed requests from customers, contractors, and internal team members.
  • Draft process and program guidelines for assigned projects.
  • Other duties as assigned

Qualifications

Minimum Qualifications

  • 3+ years administrative assistant, customer service representative, or related experience
  • High school diploma/GED
  • Intermediate proficiency in MS Office tools (i.e., Outlook, Excel, Word, SharePoint, Teams)
  • High attention to detail
  • Ability to understand, interpret, and apply technical information.
  • Able to communicate in written and verbal English clearly and effectively.
  • Demonstrated ability to manage multiple tasks to meet short turnaround times while adhering to strict quality control standards.
  • Experience using a CRM or similar system to track customer and/or project details.

Highly Qualified Applicants will demonstrate:

  • Advanced education such as Associates, Bachelor's, or higher degree in Business Management, Business Administration, or related field.
  • Basic knowledge of real estate building types including residential, multifamily and/or commercial buildings
  • Previous energy efficiency incentive program experience
  • Bilingual in Spanish and English

Compensation: Compensation will vary based upon experience, education, skill level, geographical location, and other compensable factors.

Other Compensation: Employee may be eligible for participation in the Company's annual Discretionary Bonus Program which is contingent on Company, Business Segment, and Individual performance against Key Performance Indicators which vary by year and employee.
