Key responsibilities for this role include:

  • Review for comprehension relevant Standard Operating Procedures (SOPs).

  • Route incoming and prepare outgoing mail.

  • Perform clerical responsibilities with regards to correspondence, protocols, and other laboratory records.

  • Research and prepare simple to detailed presentations, to include creation of supporting text and insertion/creation of graphics utilizing Microsoft PowerPoint.

  • Coordinate and manage special projects which includes gathering information and creating binders to be distributed to key personnel within the company.

  • Manage non discretionary expenses for NA R&D including ordering supplies and reconciling expenses, preparing expense reports, etcetera.

  • Establish and maintain an organized filing system for the department. Create binders containing key information and critical and /or historical information on projects.

  • Maintain various databases/spreadsheets for the purpose of tracking various departmental projects.

  • Coordinate executive meetings, telephone conference calls and departmental meetings.

  • Coordinate and maintain calendar/schedule and travel itineraries.

  • Prepare and monitor departmental budget.

  • Manage telephone traffic and communication with departmental project partners.

  • Perform complex, non-standard typing or word processing.

  • Assist in the conduct of scientific literature searches and article retrieval.

  • Provide assistance with routine pre-clinical study documentation.

  • Perform other duties as assigned.

Key responsibilities for this role include:

  • High school diploma/GED required. Associate or Bachelor of Science/Arts degree preferred. Minimum of 0-2 years demonstrated administrative experience. However, a combination of experience and/or education will be taken into consideration.

  • Must possess knowledge to learn other windows and web-based programs necessary to support the department.

  • Must possess excellent written and verbal communication skills, interpersonal skills, management skills, strong work ethic, consensus gathering skills, organizational skills and a working knowledge of Microsoft Office including Word, Excel, Power Point, Access and Lotus Notes. Must possess the ability to protect confidential and sensitive information.

  • Strong English reading, writing, and verbal skills are required. Ability to read and interpret general business documents. Ability to write routine reports and general business correspondence. Ability to work with peers and communicate basic concepts.

  • Ability to solve practical problems through standardized solutions that require limited judgment. Ability to follow prescribed and detailed procedures to solve routine problems.

  • Ability to add, subtract, multiply and divide and compute ratios.

  • Typically sitting at a desk or table. Intermittently sitting, standing, walking, or stooping. May be required to stand; walk; stoop; bend; kneel; and climb steps. May require use of hands and use of arms. Light lifting requirements.

  • Proficiency in speaking, comprehending, reading and writing English is required.
