Position Summary Information

Primary Purpose
The Patient Services Specialist/Receptionist works under general supervision, provides clerical support to the University of the Pacific Hearing and Balance Center Administration and serves as the primary point of contact for patients. Additional responsibilities may be assigned, specific to serving and supporting faculty and students.

The essential functions listed below are intended to identify those generally assigned, the position may perform many but not all, in addition, other responsibilities may be assigned that are based on business need.
Essential Functions
  • Perform front-desk receptionist duties including answering incoming calls, schedule and confirm appointments, greet patients, respond to patient inquiries and manage day-to-day front-end-operations at a busy audiology clinic.
  • Prepare patient bills and point-of-sale collection, collecting, tracking, and posting payments.
  • Maintain a clean lobby environment and a hearing aid lab and clean clinical tools.
  • Provide quality customer services to enhance patient experience and care.
  • Provide assistance to students including responding to questions on patient appointments and clinic schedule, refer students to faculty for appropriate resources if necessary.
  • Establish short-term payment plans for patients and collect monthly payments according to each patient's payment plan.
  • Manage up-to-date patient medical records and physician referrals.
  • Provide feedback to clinic director, audiologist(s), and other staff as necessary.
  • Recommend new procedures for streamlining administrative duties or office functions.
  • Comply with State and Federal privacy acts, including HIPAA and other compliance agency regulations.
  • Performs other duties as assigned or requested.

Minimum Qualifications
  • One and a half (1.5) years of post-high school education with a minimum of eighteen (18) units of completed coursework.
  • Two (2) years of responsible administrative experience using current word processing software such as: Word, PowerPoint, Excel, Internet, and electronic email.
Preferred Qualifications
  • Associate or Undergraduate Degree.
  • Prior experience in a medical office environment.
  • Ability to learn office technology software Current office management system.
  • Familiarity with basic budget and bookkeeping procedures.
  • Demonstrated proficiency in the use of computer office software including word-processing, spreadsheet applications and mail merge functions
  • Effective verbal communication with general hearing-impaired public.
  • Excellent phone & customer service skills, office organization, and event/meeting scheduling and records management skills.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.

Frequent standing, walking, sitting, bending, stooping, reaching, computer and phone use. May be requested to lift up to twenty-five (25) lbs. Infrequent climbing stairs, walking across campus. Constant communication using both spoken and written means.

Work Environment/Work Week/Travel:
Work performed during standard business hours.
Hiring Range $21.77 - $27.20 per hour. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer.
