The ideal SES Executive Assistant candidate requires extensive expertise in senior-level executive management, demonstrating a proven track record of innovative client management within a diverse workforce. The ideal candidate excels at establishing effective and positive relationships with senior executives, colleagues, internal and external clients, and stakeholders. They thrive in fast-paced, fluctuating environments, consistently executing time-critical projects with precision. Exceptional communication, writing, and research skills are essential, alongside a keen attention to detail and superior organizational abilities. The candidate must be adept at prioritizing and multitasking, ensuring successful follow-through and adaptability to meet the evolving needs of clients, stakeholders, and team members.

Roles and Responsibilities

  • Manage all calendars by providing comprehensive support to organize meetings, coordinate with stakeholders/competencies.
  • Coordination and scheduling of meetings across several commands, and various time zones.
  • Senior Executive Service (SES) Daily Binder preparation and management. Gather and provide read ahead/meeting materials and provide a variety of information, leveraging professional knowledge or conduct research as needed to ensure the customer the most accurate and reliable information. Ensure the binder is maintained in a way that makes the clients day easier.
  • Process mission critical correspondence, high-level instructions, notices, and memorandum of agreements. Submit awards for transferring, separating and retiring military personnel, and process Fitness and Evaluation reports for all military staff.
  • Extensive Travel management creating travel itinerary in Defense Travel System (DTS) selecting air, hotel, and rental car reservations as needed, ensuring that all reservations meet the traveler's timeline and critical mission requirements. Arrange all office calls and arrange all pre-travel meetings to go over agendas and slides as required. Provide a travel binder that includes all itineraries, biographies, important local information, maps and directions.
  • DTS Subject Matter Expert (SME) and as required. Competencies and PEO's must conduct quarterly Travel Management Reviews (TMRs) to assess Authorizing Official (AO) compliance with NAVWAR travel policy and the Joint Travel Regulations (JTR), successfully reviewed and audited 28 travel fiscal year 2022.
  • Defense Counterintelligence and Security Agency (DISS) is the "DoD system of record" for recording clearance eligibility determinations and access to classified information, up to and including Top Secret. Used for the processing and verification for ship visit, SIPR room visit, and visit request.
  • CAC Coding for access to Building OT4 for all FRD employees, PMW 750 and PMW 760, and those supporting Project OM. Verify clearances in DISS.
  • Other administrative tasking as assigned.

  • Resolving client queries and problems. Have the ability to think ahead and outside of the box.
  • Excellent organizational and leadership skills.
  • Prioritize the day assessing trip wires before they become an issue. Managing leadership and client needs utilizing core values, strong work ethic to accommodate the demands of responsibilities and challenges of the day.

Advance computer skills:

Microsoft Office Suite; Microsoft Teams; SharePoint; Defense Travel Systems (DTS); Total Workforce Management (TWMS); ETSM2; Defense Information Security System (DISS); Navy ERP; Cisco SVTC Touch Console
