Salary range is $21.63/hr. to $48.07/hr. with a midpoint of $31.25/hr. New hires typically receive between minimum and midpoint, however, we may go slightly higher based on experience, internal equity and market.

GENERAL PURPOSE:

Under general supervision, this position provides administrative, technical, and task management support to the Director of Portfolio Integrity (PI) and in support of the work of the Portfolio Integrity team. Perform independent administrative functions including: scheduling, meeting, and calendar management; handling sensitive or confidential information; updating and managing SharePoint sites; researching, compiling, and presenting data and information; developing, producing, updating, and distributing reports; helping to track, manage, and implement division/department goals; and providing general support to the divisional leadership team and other divisional staff, as needed.

ESSENTIAL FUNCTIONS:

The following duties are a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.

  • Provides general support and coordination of activities for the Portfolio Integrity Director, business unit leadership and staff, and internal and external customers and stakeholders of the division.
  • Assists the Portfolio Integrity Director and other divisional managers in various assigned projects, along with tracking and prioritizing tasks and commitments.
  • Monitors, tracks, and implements work on department/division/business unit initiatives, goals, and projects as assigned.
  • Assists in the development and issuance of reports and maintains divisional records including SharePoint, Power BI databases, and other tools.
  • Reviews and compiles documents and verifies the accuracy of data.
  • Coordinates scheduling of staff for meetings; prepares presentation materials and similar documents and supports meeting presentations; develops, finalizes, and distributes meeting minutes.
  • Assists in managing and monitoring the work of intern(s) for the PI Business unit as assigned, including identifying tasks to be delegated to interns.
  • Identifies process improvements and self-initiates proposals for improvements in division organizational work.
  • Develop and manages logistics for division retreats, workshops, trainings, and other similar meetings or events.
  • Coordinates the administrative support functions Portfolio Integrity team and provides support to the Portfolio Management and Integrity (PM&I) division, including leadership team and senior coordinator, as needed.
  • Provides office processes and meeting logistic support; processes invoices, travel requests, and expenses; manages office equipment, supplies, service requests, and space items; coordinates overall management of business unit new employee onboarding.
  • Serves on a variety of committees as assigned; stays informed of processes and procedures.

MINIMUM QUALIFICATIONS:

Education and Experience: Associate's degree and three years of experience in providing administrative support functions for a manager/director or similar level in a large department or complex program/project of an organization that includes preparation of presentations and executive level communications, coordinating administrative support functions such as schedules, budget/procurement, and special projects; Or an equivalent combination of education and experience.

Required Knowledge and Skills:

  • Strong organizational skills, general office management principles and practices, and administrative practices.
  • Strong communication skills (verbal and written) and techniques and strategies to facilitate responding to inquiries and/or routing to the appropriate staff member, and preparing clear, concise reports, correspondence, memos, and meeting records.
  • Ability to establish and maintain effective working relationships with other divisions and department staff, management, vendors, internal and external stakeholders.
  • Operational characteristics, services, and activities of assigned functions, programs, and departmental operations.
  • Principles and practices used in establishing and maintaining files and information in electronic databases, such as SharePoint.
  • Researching, compiling, analyzing, and interpreting data.
  • Interpreting and administering policies and procedures sufficient to administer, discuss, resolve, and explain them to staff and other constituencies.
  • Use of independent judgment, problem-solving skills, personal initiative, and resourcefulness. Maintaining confidentiality of sensitive information.
  • Interpreting and applying applicable federal, state, and local policies, laws, and regulations as it pertains to assigned area.
  • Planning and organizing work to meet changing priorities and deadlines.
  • Project management principles and practices for smaller projects and initiatives.
  • Assisting with budget preparation and administration.
  • Ability to work effectively under pressure, meet deadlines, and adjust to changing priorities.
  • Modern office procedures, methods, and equipment including computers, mobile devices, and computer applications such as word processing, spreadsheets, and statistical databases.

Preferred Knowledge and Skills:

  • SharePoint.
  • Power BI.
  • Microsoft 365.

Physical Demands / Work Environment:

  • Work is performed in a hybrid office environment.
