About This Role:

Role Overview:Universal Consulting Services (UCS) a subsidiary of Tria Federal (Tria) is seekinga talented Secretary.The person in this role will support the Naval Surface Warfare Center, Port Hueneme Division (NSWC PHD) Director and Deputy Leadership within the Corporate Operations Department.

Responsibilities:

  • Provide principal secretarial support in an office, usually to two or three individuals, and, in most cases, to the subordinate staff of Corporate Operations sub codes
  • Maintain a close and highly responsive relationship to the day-to-day activities of the supervisors and staff
  • Work independently with no supervision and minimal initial guidance
  • Perform various clerical and secretarial duties requiring strong knowledge of office routine and a very strong understanding of the organization, programs, and procedures related to the work of the office
  • Perform timekeeping functions for Director, Deputy and sub code gov/civ personnel

The "Need-to-Have" Skills & Qualifications:

  • Strong administrative skills to include data entry, call screening, type 60+ wpm, self-starter with the ability to multi-task
  • Critical thinker with the ability to make 'on-the-spot' decisions, evaluate and develop strategies for completing tasks
  • Time management is critical. Must be able to prioritize and plan-out tasks, set goals to meet deadlines, problem solve and take notes.
  • Strong written and verbal communication skills. Ability to communicate clearly and effectively is paramount. Must show an understanding of the importance of accurate and sensitive communications when representing executives
  • Strong interpersonal skills. Must be self-motivated and able to work independently as well as within a team environment
  • Must be able to work under pressure, self-regulate and manage stress
Experience:
  • Advanced working knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook), TEAMs and Adobe Acrobat
  • Prior experience managing executive calendars. Ability to de-conflict and schedule meetings using Outlook and TEAMS
  • Foster a positive work environment
  • Be a liaison between executives and other departments
  • Time keeping, data transferring and generating reports
  • Reviewing and routing correspondence
