About the Opportunity

This position will work directly with the Communication Sciences and Disorders Division Chairperson and serve to increase the capacity of the Chairperson to carry out administrative duties and responsibilities. The position will assist in coordinating and operationalizing various projects/initiates related to the Communication Sciences and Disorders Division within the Human Performance Department, goals and objectives. This position will work closely with the Chairman, to provide an efficient and service-oriented infrastructure for the academic, research, public service and clinical programs. This position will report to the Administrative Director.

What you'll do:

  • Provides executive administrative support to the Communication Sciences and Disorders Chairperson for the Human Performance Department for varied tasks to coordinate both daily and long-term activities. Manages projects of varying size, scope and complexity.
  • Monitors travel and other events that must be attended by the Communication Sciences and Disorders Faculty,
  • Serves as part of the senior leadership team in the development of policies such as faculty workload, travel, procedures for grant submission, etc.
  • Collaborates with leadership to develop and implement plans regarding operations infrastructure, processes, and personnel in order to accommodate a more efficient/effective environment.
  • Develops criteria to evaluate personal needs, operational effectiveness. Elicits and assimilates information in order to provide any or obtain the best assistance/solution to individual concerns.
  • Gives continuous attention to the clerical, administrative and operational aspects of the office functions.
  • Prioritizes, commits, and schedules appointments for the Communication Sciences and Disorders Chairperson for the Human Performance Department utilizing judgment and knowledge of prior commitments. Makes all arrangements relating to location, time and date, notifies participants of arrangements and purpose of the meetings via memorandum, telephone or e-mail. Coordinates scheduling of meetings and adjust meeting date's times to accommodate the Communication Sciences and Disorders Chairperson for the Human Performance Department schedules as well as those of the participants in the meeting.
  • Prepares and/or contributes to the preparation of reports, briefings, presentations and responses on institutional and strategic issues as appropriate.
  • Collects agenda items, prepares agenda and composes minutes as requested. Collects information and creates reports from established data and/or divisions.
  • Establish and maintains office files and records and assembles information from these and other sources. Archives files independently as appropriate.
  • Responsible for compiling all information into appropriate formats, collects and prepares various required data or text files. Drafts complex financial statistical, narrative and/or other reports as requested.
  • Responsible for the Communication Sciences and Disorders Chairperson for the Human Performance Department correspondences and reports (handling confidential and sensitive matters, making routine requests for assistance as deemed appropriate to coordinate support personnel in the Division.
  • Compiles accurate statistical, financial or unit activity data for the Communication Sciences and Disorders Chairperson for the Human Performance Department as assigned.
  • Coordinates travel arrangements as needed and prepares travel reimbursement for signature.
  • Participates in cross-training with all support other support staff in Department.
  • Coordinates and schedules daily activity and workflow for the Communication Sciences and Disorders Division.
  • Works with management to coordinate and identify educational and/or training opportunities.
  • Has purchasing authority utilizing Procurement Card and Oracle to obtain office supplies, catering services, office equipment, etc.
  • Prepares and/or contributes to the preparation of reports, briefings, presentations and responses on institutional and strategic issues as appropriate.
  • Work with Senior Program Coordinator Clinical Education on field work clinical education contracts with regard to our Professional Programs and be trained as the back-up to the functions of this role.
  • Works with Administrative Director to coordinate events for Communication Sciences and Disorders Division.
  • Works with Administrative Director to facilitate faculty searches.
  • Manage the CSAD Google Drive as a repository with Division materials.
  • Manage student electronic files by accessing Webadmit to obtain student applications and final transcripts.
  • Work within Calipso to create new cohorts and obtain total observation hours.
  • Responsible for keeping record of Student Observation hours and then writing final letters to be submitted for graduate school.
Qualifications
  • Bachelor's Degree in a related field or an equivalent combination of education and experience.
  • A minimum of two (2) years:
    • Administrative/Executive Secretary Experience
    • General Accounting Experience
    • Excellent Typing Skills
  • Superb organizational skills
  • Advanced language talent (spelling, grammar, etc.)
  • Excellent personnel management ability
  • Superior typing dexterity
  • Outstanding computer aptitude, (including word processing, presentation software, spreadsheets, photo editing, flow charts, etc.)
  • Exceptional office management capacity
  • Professional interaction adeptness, including ability to communicate with multiple personalities and cultures; patience and tolerance.
  • Use of calculator, computer, and facsimile on a daily basis.
  • Use of slide projector, overhead projector and laptop. (Will be using databases, spreadsheets, word processing, presentation software, and e-mail)
