Required Qualifications (as evidenced by an attached resume):
Master's degree (foreign equivalent or higher) in Business Administration or related fields from a college or university accredited by an agency recognized by the Council for Higher Education Accreditation (CHEA). Five (5) years of management-level/supervisory experience in finance, administration and/or operations. Experience in accounting practices, management finance, budgeting and/or business planning and financial analysis. Experience with budgeting and financial planning. Experience with enterprise management software systems (e.g., Workday, PeopleSoft, Oracle).

Preferred Qualifications:
Training or certificate in work organization methodology or process improvement (e.g., Lean Management, Six Sigma). Administrative and management experience in a large academic medical or dental center or in higher education. Experience working with different budget models (e.g., Centralized, Incremental, RCM). Experience working in a staff and faculty unionized working environment. Experience with electronic medical record (e.g., Epic, Cerner) and electronic dental record (e.g., axiUm, Wisdom) software.
Experience managing budgets greater than $30 million.

Brief description of duties:
Stony Brook University School of Dental Medicine (SDM) is seeking an experienced administrative, financial, and strategic leader to help develop, implement, and assess the overall operations of the school. This position reports directly to the dean and is a member of the school's Executive Committee. It oversees the finance and administration, human resources for staff, information and technology, and facilities of the school. It is a highly visible and high-impact position that helps shape the strategic direction of the school, with a strong focus on sustainability, financial strength, and community service.

The successful candidate possesses excellent interpersonal and communication skills and a desire to create an environment that promotes collegiality, collaboration, and intellectual diversity among the members of various education, research, and service communities of the SDM. A willingness to serve as a role model and advocate for the ideals of professionalism and high ethical standards in a health science educational setting is essential. The desired applicant is a data-based decision maker and has well-developed written and verbal communication skills. The desired applicant has the ability to lead, manage and motivate interdisciplinary teams. The desired applicant has experience in corporate negotiations and formulation of MOUs, affiliation agreements and standard operating procedures. The desired applicant has an understanding of the Graduate Medical Education (GME) funding structure, program eligibility and reporting obligations for medical and dental residencies and fellowships. The desired applicant has knowledge about the interdependency of the components of the tripartite mission of a medical or dental school.

Duties:

  • Contributes to functions of the Dean's Council and the SDM's Executive Committee by participating in collegiate discussions, decision making and priority setting, assisting in strategic planning, and performing other duties as assigned by the dean.
  • Serves as the Chief Financial and Administrative Officer of the SDM, creating and maintaining a responsive financial and administrative organization that provides the resources required to support the SDM's tripartite mission - education, research and service.
  • Manages the financial operations, including strategic multi-year planning, forecasting, budgeting, accounting, financial reporting and variance analysis, financial risk assessment and capital planning.
  • Utilizes and monitors the multiple sources of funding the SDM receives, to include the clinic revenues, state funds, indirect cost recovery funds, federal, state and private grants, gift and endowed accounts and industry and other sponsored contracts and agreements.
  • Serve as the SDM's chief financial officer for Article 28 DTC facility, the financial/budgetary representative of the SDM with the NYS Academic Dental Centers, the liaison for the SDM with the United University Professions (UUP) and the official point of contact for the SDM with the NYSDOH.
  • Works with the associate dean for clinical operations and patient care in the annual review and proposed adjustment of the clinic fee schedules, in the refinement of the school's department-based cost centers and in the employment and evaluation of operational efficiency enhancements.
  • Collaborates with the associate dean for education, the associate dean for clinical operations and patient care, and appropriate department chairs and program directors in reviewing, revising and submitting student and resident fees to the Associate VP for Health Science Administration and Finance for consideration.
  • Participates and chairs school committees that have financial and budgetary implications on the education, research and service missions of the SDM.
  • Leads physical resource, construction, renovation and capital planning initiatives.
  • Assists in developing, revising and implementing policies and procedures for school activities that have fiscal implications - clinical operations, staff and faculty development programing and performance recognition.
  • Negotiate, administer and provide financial reporting for the Graduate Medical Education (GME) contractual agreements with Stony Brook University Hospital and other entities that the SDM has GME residency agreements.
  • Has principal supervisory management of four direct reports (assistant dean for finance, director of information technology, director of revenue cycle and director facility operations) updates their performance programs and completes their annual evaluations.
  • Provides financial oversight of the pre-, interim and post-award sponsored research resources of the school.
  • Partners with the human resources business partner in preparation of letters of offer, salary determinations and increases, and disciplinary actions for staff.
  • Prepares annual budget and year-end financial report with the assistant dean for finance, in consultation with the Associate VP for Health Science Administration and Finance.
  • Works with the director of facilities in maintaining and upgrading the facility to ensure compliance with state and federal requirements, efficiencies in operations, proper utilization of space, and a safe and pleasant work environment.
  • Provides financial, strategic, operational and managerial oversight of the school's information technology resources, processes and personnel to support the clinic, education and administrative functions of the SDM, including creating an equipment replacement plan to ensure all operations are utilizing state-of-the-art technology.
  • Collaborates with the Office of Information Technology at Stony Brook Medicine in ensuring that the information technology operations of the SDM are in compliance with state and federal standards.
  • Ensures compliance with state and national regulations regarding clinic and overall operations of the SDM.
  • Serves as the liaison for fiscal and administrative matters of SDM with its affiliated faculty practice (Stony Brook Dental Associates), including annual financial reports and audits and compliance with state and federal regulations related to Article XVI practice.
  • Develop, implement and provide oversight of the SDM access policies, in concert with University Police Department and campus security personnel.
  • Works jointly with the associate dean for education and the associate dean for clinic operations and patient care in developing an expansion plan for community, regional, national and global outreach programs for dental students.
  • Functions as the SDM's official financial agent to the American Dental Association (ADA), American Dental Education Association (ADEA), the Commission on Dental Accreditation (CODA), the National Science Foundation (NSF) and other organizations seeking SDM finical information.
  • Represents the SDM, serves on committees and works on special projects as requested by the dean.
  • Other duties or projects as assigned as appropriate to rank and departmental mission.

Special Notes:
This is a Management Confidential position. This is a full time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
