DEPARTMENT OVERVIEW

The Creating Equity in STEAM (CrEST) organization is a collection of individual programs and initiatives with a mission to advance equity in all fields of research, both locally and globally. CrEST provides students and educators of all ages around the world access to growth opportunities in STEAM.

The Science Internship Program (SIP) is a program within CrEST that offers high school students the opportunity to spend their summer interning with research groups under the expert guidance of UCSC professors, postdoctoral students, and graduate students. SIP continues to grow each year and recently placed nearly 400 students in research areas across 24 academic disciplines such as astronomy, chemistry, digital arts and media, marine biology, and psychology to work on actual ongoing UCSC research projects.

JOB SUMMARY

Reporting to the CrEST Associate Director, the SIP Assistant Director is an experienced leader and program manager who will develop and steer SIP programmatic activities and expand the global reach of the program. The SIP AD will provide leadership for developing and advancing short and long-term goals for the program, oversee personnel actions and resolve issues for their direct reports, manage SIP program funds, develop and implement policies and procedures according to best practice, and collaborate with CrEST colleagues on outreach activities, fund development initiatives, and strategies to further grow and develop SIP.

APPOINTMENT INFORMATION

Budgeted Salary: $80,000 - $90,000/year. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

40% - Program Oversight and Involvement

  • Plans and oversees day-to-day operations; measures, assesses, and evaluates outcomes, and ensures goals and objectives are met.
  • Adjusts and streamlines processes as needed; maintains an openness to innovation.
  • Plans and facilitates recruitment strategies and activities for program participants, mentors and interns.
  • Ensures success of large-scale SIP events (SIP Reunion, Open House, all mentor trainings, Program Kick-Off, Presentation Day, various intern workshops, and other events).
  • Oversees SIP finances in collaboration with CrEST Associate Director; responsible for developing and managing activity and event budgets.
  • Develops and maintains relationships with internal and external organization stakeholders critical to program success.
  • Trains staff in accordance with program best practices, and develops a culture consistent with CrEST's values and mission, as well as UCSC's Principles of Community.
  • In collaboration with CrEST and SIP colleagues, leads the analysis and annual evaluation of program activities; adapts the following year's program planning accordingly.

25% - Recruitment, Application, and Enrollment

  • Oversees program participant application workflow including:
    - ensuring readiness, efficiency, and efficacy of application system and process
    - outreach/recruitment to schools and partners
    - monitoring of student applications, ensuring functionality of online management system
    - Recruitment of mentors and functionality of online system for mentor applications
    - application processing - e.g., matching of interns with mentors and placement into internship projects
    - notifications to applicants
    - registration and follow-up for accepted students
    - waitlist and rolling admissions
  • Develops partnerships/networks with K-12, and community organizations as a means of program outreach and recruitment
  • Manages workflow and data organization/management to monitor applications and enrollment processes.

25% - Leadership and Management

  • Recruits, hires, trains, and supervises SIP staff according to UCSC policies.
  • Serves as supervisor for SIP Operations Coordinator, academic hires (mentors), and seasonal residential staff.
  • Establishes work plans, performance standards, monitors performance, and conducts appraisals.
  • Coaches, provides direction, and designs professional development plans tailored to staff needs.
  • Assess training needs and implement staff professional development for both permanent and seasonal staff.
  • Assists team in accomplishing project management goals by deadlines.
  • Works to create a workplace culture consistent with the CrEST mission and UCSC Principles of Community.
  • Resolve escalated issues with program participants or staff.
  • Provide fiscal oversight, control, and accountability; review and provide approval of expenditures; review monthly, quarterly, and annual program budgets.
  • Serves as a member of the CrEST Leadership Team and is expected to contribute to CrEST strategic planning and SIP program strategic planning.

10% - Strategic Partnerships

  • Establish and maintain intersegmental (K-12, higher education, legislative) partnerships and collaborations that promote student academic achievement, equity, and access.
  • Represents SIP and the other programs and initiatives under the CrEST umbrella in meetings and public engagements with program partners, UC, the local community, participant's families, mentors, and other relevant audiences. This may require some travel for various outreach events and partner meetings.
  • Enhance public awareness and engage stakeholders (donors, legislators, educators, students, parents, community, business, etc.) around program and organizational goals, needs, and issues.
  • Create and maintain collaborative and functional relationships with key organization units (e.g., conference services, university relations, campus controllers, academic divisions, central office support services, and student service programs).
  • Proactively cultivate CrEST partnerships through organizing introductory and working group meetings with new and existing partners.
  • Serve on department, division, organization, and external committees, workgroups, and coordinating bodies as needed.

REQUIRED QUALIFICATIONS

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Significant demonstrated experience in youth programming to advance the interests of underserved populations.
  • Knowledge of pedagogical issues underlying student academic development and achievement for underserved or historically excluded student populations (ie. first generation, students of color, students with disabilities, etc.).
  • Demonstrated cultural competency and humility with respect to gender, race, ethnicity, class, sexual orientation, ability, religion, etc.
  • Advanced knowledge of strategies for advising and supporting underserved students regarding postsecondary opportunities and careers.
  • Significant demonstrated organizational administration experience.
  • Advanced writing, research, and communication skills to prepare highly competitive proposals, reports, and materials.
  • Expert knowledge of program management, including program design, implementation, and evaluation.
  • Advanced knowledge and experience with fiscal and personnel oversight.
  • Significant demonstrated experience in developing and maintaining strategic partnerships.
  • Ability to establish and maintain cooperative relationships with diverse individuals and institutions.
  • Progressive outlook on incorporating innovations and new best practices.
  • Sufficient humility to learn from others and concede when program and process improvements are needed.

PREFERRED QUALIFICATIONS

  • Higher degree in related area and / or equivalent experience / training.
  • Background in counseling, social work, student advising, crisis management, and/or experience making referrals to address and support student emotional, physical, and mental health needs.
  • Specific experience running youth programs at UC Santa Cruz in coordination with campus support units.
  • Specific experience with UC Santa Cruz fiscal checks and balances processes and paradigm.
  • Specific experience working with UC Santa Cruz human resources processes and collaboration with human resources offices and staff.
  • Expert knowledge and understanding of K-14 educational equity programs and issues.
  • Demonstrated knowledge of relevant federal / state regulations and accountability / reporting requirements.
  • Knowledge of alumni engagement strategies. Knowledge of donor stewardship practices and strategies.
  • Demonstrated dedication to increasing access to research opportunities, as well as increasing diversity, equity, and inclusion within an academic setting.

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Must possess a current CPR certificate.
  • Must possess a valid license to drive in the state of California.
  • Ability to work long periods of time at a computer with or without accommodation.
  • The selected candidate has the option to work a hybrid work schedule. If a hybrid work schedule is confirmed, the selected candidate must be able to work successfully from a home/remote office and be able to fulfill the requirements of the UCSC telecommuting agreement.
  • Ability to work overtime including evenings, nights, weekends and holidays to meet operational needs, and work an alternate work schedule shift as required.
