Office Coordinator
Hondros College of Nursing

Hondros College of Nursing is hiring an Office Coordinator for the Central Support Office in Westerville, OH! The Office Coordinator is responsible for performing administrative and office support activities, as well as general accounting-related tasks.

Responsibilities:

  • Gather, file and maintain electronic contracts and agreement
  • Gather, file and maintain accounting data and statistics for databases, spreadsheets, and reports
  • Perform daily/weekly reporting of campus activity
  • Perform Accounts Payable (AP) and Title IV Filing
  • Review Campus Petty Cash
  • Maintain Weekly Campus Deposits
  • Create and Maintain NCLEX Voucher Spreadsheet
  • Review BankMobile rejections and follow up with students
  • Maintain miscellaneous deposits and complete bank deposits when needed
  • Assist with data entry within the Accounts Payable software
  • Assist in the coordination of the Accounts Payable email inbox
  • Complete accounting and executive related credit card expense reports monthly
  • Assist in internal and external audit related requests
  • Assist in maintaining the student course offering
  • Perform multifaceted general office responsibilities including: fielding telephone calls, receiving and directing visitors, word processing, creating presentations, copying, filing, faxing, and generating reports
  • Maintain general organization of common areas within office space
  • Interact with internal associates to resolve administrative details and issues; may respond to students, vendors and other external parties
  • Assist with office logistics, equipment inventory and storage
  • Manage ordering of supplies and inventory of supplies, monitoring critical level of stocks, sourcing for suppliers and submitting invoice(s)
  • Send out and receiving mail and packages, deliver accounts payable checks to the post office
  • Prepare business correspondence
  • Copy, sort and maintain packets of materials for distribution
  • Coordinate between departments and operating units to resolve day-to-day administrative and operational problems
  • Schedule and coordinate meetings, interviews, events and other similar activities
  • Prepare meeting minutes, meeting notes and internal support materials when requested
  • Other duties as assigned

Requirements:

  • Knowledge of correct grammar, spelling and punctuation
  • Knowledge of office procedures and equipment
  • Knowledge of PC's and appropriate software
  • Excellent verbal and written communication skills
  • Ability to interact diplomatically with a variety of individuals at various organizational levels
  • Ability to identify moderately complex administrative issues and problems and resolve or escalate to appropriate individual
  • Knowledge of basic accounting principles and practices
  • Ability to maintain confidentiality of information
  • Aptitude for accuracy and detail
  • Strong time management and organizational skills
  • Ability to work on simultaneous projects at once

Education:

  • High School Diploma
  • Two years administrative or relevant experience
