The Group Records Specialist will serve as the primary person responsible to provide exceptional service to internal and external customers by working with Sales, Underwriting, Benefit Plans, Agents, and other department staff to develop and maintain onboarding of employer groups into specific databases while ensuring all regulatory requirements are being met. This role will perform operational functions for employer group maintenance including the processing of group renewals and the updating of all rates, plans, and riders for groups. This position will also be responsible for the daily servicing of agents and employer groups through email, researching and resolving questions they may have with their group set up or their billing invoice.

  • Shift hours: Monday - Friday, 8:30am to 5:00pm CST
  • Starting hourly pay: $20/hr.
Responsibilities
  • Add new employer groups and process changes to existing records in HealthLink, ensuring the correct benefits and premiums are assigned. Review of employer group documents and processing of benefit plan information is audited with an expectation of 98% accuracy.
  • Prepare and send documents to employer groups including group contracts, Schedule of Benefits (SOB), Summary of Benefits and Coverage (SBC), and any applicable benefit riders. Process group renewal information received from Underwriting.
  • Responsible for providing daily service and maintaining good relations with employer group contacts, outside agents, and internals sales team.
  • Communicate necessary information to sales staff and other Quartz staff as appropriate. Coordinate new group benefit assignment and group renewals, including notification to Underwriting and notification to the group of acceptance or denial with a returned signed contract.
Qualifications
  • Associate's degree with 1 year of experience working in a professional setting in an operations area, with exposure to transactional processing
  • OR High school diploma or GED with 4 years of experience working in a professional setting in an operations area, with exposure to transactional processing
  • Experience in the health insurance industry or healthcare field, and web-based experience with Epic/HealthLink is preferred
  • Knowledge of health insurance practices, regulations, procedures, medical terminology, and previous web-based experience
  • Ability to support and work cooperatively with peers and supervisors
  • Ability to work well in group situations and to accurately present and receive information regarding complex issues
  • Flexibility to work the number and schedule of hours needed to accomplish regular and ad hoc job responsibilities
  • Ability to work seasonal overtime as business necessitates
  • Identify problems, research, and analyze issues from different perspectives, organize information and work cooperatively with others to develop and implement effective solutions
  • Meet quality and timeliness standards as set forth by company's expectations
  • Ability to be composed and adaptive in a dynamic, fast-paced customer-focused work environment characterized by rapid change, minimal lead times and multiple competing priorities

This position can work 100% remotely or from our office in Madison, WI in a hybrid or full-time on-site arrangement, if preferred. Hardware and equipment will be provided by the company, but candidates must have access to high-speed, non-satellite Internet to successfully work from home.
