Description

The Operating Room Coordinator serves as a communication link for the main Operating Room. Responsibilities include but are not limited to management of communications in a constantly changing, fast paced environment focused on professional and expedient customer service. This position requires the ability to prioritize and work on a daily basis with minimal supervision.

PRINCIPAL DUTIES AND RESPONSIBILITIES:
1. Customer Service

1.1. Promotes the philosophy of professional and effective customer service to all individuals
1.2. Maintains a professional and assistive working relationship with Dept. of Nursing staff, Anesthesia staff, ancillary departments and management
1.3. Can effectively assist visitors in the OR, including patients and families, salespeople, students, etc.
1.4. Can problem solve and/or seek assistance with problem solving utilizing surrounding knowledge of situations in an effective manner
1.5. Will maintain patient confidentiality at all times
1.6. Will answer blood bank call light in an appropriate time frame
1.7. Will assist employees and visitors with properly securing their belongings in lockers while on the unit. This includes the assignment of lockers
1.8. Will ensure that all patients belongings including valuables and assistive devices are handled according to MGH policies and procedures
1.9. Will ensure that patient charts and x-rays are handled in the fashion consistent with MGH policies and procedures
1.10. Will practice and assist with the implementation of all MGH policies, procedures, and systems

2. Communications

2.1 Communication must be, at all times, professional and effective to enhance a positive working environment
2.2 OC will assist in the maintenance of communications between the individuals in the OR rooms and all staff including Dept. of Nursing personnel, the Anesthesia floor-walker and Administrative Coordinator, doctors and surgeons, and the main blood bank
2.3 There must be an even higher focus on effective communication with the scheduled resource nurse and the anesthesia staff administrator as cases are either booked or changed
2.4 Team Leaders for each service need to be notified when a case is booked, changed, or cancelled. All other appropriate personnel also need to be notified when cases are booked, changed, or cancelled including but not limited to transplant teams, on-call and trauma teams
2.5 Must have a working knowledge of scheduling cases which includes knowing which cases can be scheduled and during which hours, the substitution of cases, and the utilization of specific rooms for specific cases
2.6 Must be able to handle an extremely heavy telephone volume (Gray Desk) and a light telephone volume in the Satellite Blood Bank. This includes answering calls in 3 rings or less (as possible) in a courteous manner, the knowledge of paging systems and overhead paging, transferring and parking calls, accepting and documenting sick calls, taking messages, answering questions for incoming callers, scheduling cases to be performed in the OR, and any other calls which come in to the Gray Desk
2.7 Will be able to assist with the day-to-day non-clinical operations and environmental issues for the Dept. This includes communication with various ancillary services such as Buildings & Grounds, Telecommunications, and the Supply Room. Included in this is the need for spontaneous communication when supplies are low or assistance is needed (i.e. In obtaining a beeper). Administrative will order and maintain necessary supplies
2.8 Will act as a liaison to assist with patient information via the Same Day Surgery Unit, the Post Anesthesia Care Unit, Intensive Care Units, in patient units, etc. Included in this are completing patient tags and placing patients "on-call" as required

3. Documentation

3.1. Will assist in the transcription of the Nursing Assignments and break/lunch lists
3.2. Will assist with the finalization of the Perioperative Nursing Status Reports by acting as a communications liaison between the Operations Coordinator, Nurse Manager, and Nursing Personnel. This includes printing out the Perioperative Nursing Reports and, as necessary, communicating information from the Operations Coordinator to other Nursing personnel while in the Operating Room
3.3. Will schedule cases on to the wait list completing all required fields, communicating to the appropriate personnel, and entering the case into the computer into the Dynamic Scheduling Application
3.4. Utilizes the correct codes for entering cases into the Dynamic Scheduling System
3.5. Sets up and maintains the master schedule of case progression on paper copy (color the cases finished, in progress, and cancelled) while ensuring the computer is in sync with the master paper copy
3.6. Ensure all necessary individuals are notified and given copies of finalized schedules. This includes travel throughout the hospital to photocopy and deliver schedules
3.7. Properly completes requisition slips for required blood and blood products ensuring accurate and full information
3.8. Ensures that all products from the Main Blood Bank sent to the Operating Rooms are appropriate and correct. This includes checking the blood products for patient name and number, the assigned product number against the requisition slip, the type and Rh factor, and the expiration of the product. This also means that the cooler has to be labeled with the appropriate patient name and room number
3.9. Ensures that blood samples sent to the Blood Bank are wrapped appropriately with the initials of who drew the sample
3.10. Checks the pneumatic tube system on a regular basis as advised if something is coming to the station to ensure proper flow of information/products
3.11. Gathers patient charge slips from the various area of the Main Operating Rooms and sets them in chronological order
3.12. Assists with filing the sponge count/instrumentation accountability sheets on a daily basis

Qualifications
High School Diploma or GED required; Associate Degree preferred

  • Medical or health care experience desirable, but willing to train otherwise qualified candidates
  • Strong computer skills and the ability to learn new systems and procedures
  • Effective interpersonal and communication skills
  • Strong customer service orientation and the ability to interact with diverse groups of patients, staff and providers
  • Demonstrated ability to solve basic patient and practice problems
  • Medical terminology strongly preferred
