WHAT YOU WILL EXPERIENCE IN THIS POSITION:

This is a great opportunity to join a growing global organization and be part of highly-functioning Executive Assistant Team. This important role provides administrative support to the SVP, Chief Accounting Officer & Treasurer and the SVP Integrated Supply Chain. In working with internal and external contacts, including Executive Leadership Team members, this person deals with a wide range of highly sensitive issues under tight deadlines. This role is a perfect fit for someone who enjoys working in a team environment as the Executive Assistant (EA) will be part of the supporting organizations and the Executive Assistant team.

  • Provide pro-active executive administrative support to the SVP, Chief Accounting Officer & Treasurer and the SVP Integrated Supply Chain, and additional support to Leadership Team members as needed including management of team calendar and operating system, and coordination of team meetings and events. Act as a thought partner in the supporting function.
  • Manage and schedule the calendars including prioritizing and resolving related conflicts and competing demands, proactively scheduling important meetings with internal and external individuals, and maintaining an organized global function.
  • Organize and coordinate domestic and international travel accommodations and plans; prepare expense reports in line with company policies and procedures.
  • Draft and prepare correspondence, presentations, and internal communications to support key business initiatives.
  • Compose, proofread and answer routine correspondence; prepare selective summaries and any follow-up actions for the supported leaders.
  • Coordinate, plan, and organize small-to large-scale meetings, both onsite and via Microsoft Teams applications.
  • Develop, prepare, monitor, and maintain special projects and programs as requested.
YOU HAVE:
  • Preferred college degree in business management or related field, or training / experience in executive assistant skills, office management and/or administrative studies.
  • A minimum of 5+ years supporting C- Level Executives.
  • A high level of proficiency in Microsoft Office 365 applications including PowerPoint, Excel, Word, and Teams; with the desire to learn evolving technology platforms to help support overall communications.
  • Proven time management and organizational skills including the ability to manage calendars and effectively maintain records and files.
  • Expert level written and verbal communications.
  • Demonstrated ability to achieve high-performance goals in a growing and fast-paced environment.
  • Experience in collaborating with Executives and their teams.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of support and response.
  • Experience in organizing meetings onsite and online, preparing and monitoring event budgets, assisting with travel (domestic & international).
