This part-time position is an integral part of the MU Extension Advancement team supporting the fundraising efforts of the Missouri 4-H Foundation. Under the supervision of the Missouri 4-H Foundation Manager, the Administrative Assistant's role focuses on providing administrative, fiscal and event support to the Missouri 4-H Foundation. A key responsibility is to help ensure accuracy and efficiency in Missouri 4-H Foundation gift processing and operations.

Key Responsibilities

Responsible for a variety of clerical and customer service support including answering phones, responding to email inquiries, and routing mail. Provides administrative support to the Missouri 4-H Foundation (Foundation) Board of Trustees. Coordinates logistics for board meetings, events, and conferences including travel arrangements, reservations, and meals. Must demonstrate an ability to work effectively with a variety of individuals and groups.

Responsible for processing all donations, preparing bank deposits, and providing accurate information to University of Missouri (MU) Advancement Records Management (ARM) to ensure proper receipts and gift acknowledgements are mailed in a timely manner. Must ensure Foundation and MU policies are followed, attention to detail and confidentiality is always demonstrated. Works closely with ARM to oversee and maintain confidential records of financial and in-kind donors, their giving histories, and other personal information. Conducts monthly reconciliations to ensure accurate coding and gift credit. Directly responds to donor inquiries related to gifts or donor records via phone or email.

Prepares all Foundation expense vouchers and oversees office supply and technology purchases, while adhering to Foundation and MU fiscal policies and procedures.

Assists with special projects including direct mail and email campaigns, tracking information and data, summarizing results, and providing necessary financial or organizational information for decision making. Special projects may involve knowledge of databases, spreadsheets, and project organizational skills.

Conduct all activities in accordance with the Civil Rights Acts, Title IX, Rehabilitation, Americans with Disabilities Act and local, state and region affirmative action plans.

As with all positions, involvement with other duties and responsibilities may be expected to support the mission and purpose of the Foundation.

LEADERSHIP RECEIVED AND EXERCISED

Administrative supervision is received from the Missouri 4-H Foundation Advancement Manager.

May mentor others in completing office and administrative duties.

Shift

Part-time, 20 hours per week. Schedule to be agreed upon with supervisor.

Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

Bachelor's degree and prior experience supporting fundraising, donor development and/or non-profit organizations is preferred. An ideal candidate will have demonstrated organizational and analytical skills. Proficient computer skills and experience with spreadsheets and databases. Professional and friendly demeanor with a demonstrated ability to work well with a variety of individuals. Willingness to work flexible hours during periods when work overflow peaks around major events. Strong familiarity with MU, Extension, and 4-H.

Knowledge, Skills, and Abilities

  • Utilizes working knowledge and learned skills to perform various activities for the job.
  • Possesses basic knowledge of specific processes and procedures needed to perform assignments within own work area.
  • Knowledge of Microsoft Office including proficiency with Excel, Word, and mail merge.
  • Good business writing, editing, and proofing skills.
  • Ability to learn new technologies including Advance (donor database), PeopleSoft (financial database) and Financial Edge (financial database).
Anticipated Hiring Range

Salary commensurate with education and experience.

Salary Range: $14.51 - $18.00/ hour

Grade: GGS-006
