Job Description

This position will support the System Programs and the Center for Offshore Safety (COS) Teams in advancing safety and sustainability across the energy sector, both domestically and globally. This position works closely with the COS and System Programs teams, API's Global Industry Services (GIS) Division, API Policy division, industry representatives and other trade associations to develop and manage initiatives relevant to safety in the oil and natural gas industry.

This position will develop, promote, and implement initiatives and provide operational support on behalf of COS committees, work groups and accreditation program to facilitate and expand COS engagement while working to support day-to-day operations. Additionally, this position will develop work products, analyze industry benchmarking data, develop work products, and provide operational support of GIS System Program's goals in administering safety programs across the industry.

Duties/Responsibilities
  • Provide managerial and planning support to System Programs committees and COS member committees. Facilitate industry participation and coordinate joint initiatives with other industry or guidance developing organizations.
  • Identify obstacles to daily operations, serve as a facilitator and seek resolution to improve processes, finalize outputs and raise visibility of longer-term barriers to success.
  • Support, maintain and monitor marketing efforts, project plans and deliverables, in accordance with COS and System Programs's business plans.
  • Track System Programs budget and code and process invoices.
  • Support contracts process for System Programs.
  • Research topics, analyze benchmarking trends and assist Program Managers in highlighting trends and areas of concern with industry.
  • Draft issue papers, marketing materials, and presentations; assist with proofing, finalization, coordination and publication of materials for both internal and external purposes.
  • Support and coordinate COS and System Programs speaking engagements and tradeshow participation.
  • Liaise with API departments, industry representatives and industry trade groups (e.g., OOC, IADC, AFPM, AGA, INGAA, etc.) in order to advance the departments' missions and fulfill their business planning goals.
  • Liaise with the COS and System Programs committees, managing communication with high level member company representatives on behalf of the API.
  • Oversee meeting preparation and lead logistical planning for COS and System Programs industry meetings.
  • Demonstrate a thorough knowledge of the COS and System Programs procedures, focusing on ensuring business processes are efficient and deliver high quality, consensus-based deliverables through the effective management of the API/COS committee schedules.
  • Ensure proper documentation management, SharePoint administration, and oversee the organizational filing system for COS and System Programs.
Key Relationships
  • Maintain communications and support COS in managing interactions with COS members, committees, work groups, contractors, audit service providers, API departments, and trade associations to achieve program objectives.
  • Partner with GIS Communications and Marketing to develop and implement COS and System Programs marketing strategies and communication plans.
  • Partner with API Office of the General Counsel for assistance with legal matters relating to contracting organizations, due diligence, public facing materials, and new program administration.
  • Build internal relationships and networks to influence others to achieve outcomes.
Qualifications
  • Requires 0-3 years of experience in a similar role and subject matter expertise.
  • Bachelor's degree in relevant area, or other related field equivalent work experience.
  • Knowledge of petroleum industry, marketing experience, and/or management systems and auditing is preferred.
  • Strong organizational, interpersonal, facilitative and program management skills.
  • Ability to manage multiple priorities, work in an entrepreneurial environment, operate with latitude for unreviewed actions or decisions, and resolve problems without assistance when appropriate.
  • Detail oriented, with strong written and verbal communication skills.
  • Ability to effectively present information, collaborate and meet deadlines.
  • An aptitude for customer service.
  • Proficient with MS Office applications (Teams, Sharepoint, Word, Excel, Outlook and PowerPoint).
Physical Requirements
  • Able to remain in a stationary position working on a computer
  • Move about the office to access office machinery, meeting rooms, etc. on occasion
  • Operate a computer and other office machinery such as printers and copy machines
  • Transport items and equipment up to 10 lbs. on occasion
Travel Requirements
  • Up to 25%
