Amherst College invites current Amherst College seniors to apply for the Advancement Data Entry Assistant (Casual) position. The Advancement Data Entry Assistant is part-time position, starting $16.00 per hour, commensurate with experience. Reporting to the Director of Advancement Data Management, this is an in-person position serving as the first point of contact for the Advancement Office's highly diverse group of alumni, parents, students, faculty, and external constituents. Responsibilities include assisting with various data entry projects, general reception tasks for the Advancement Office including answering and directing phone calls, welcoming in-person visitors, processing mail, and responding to department emails.
Maintaining thorough, high-quality data is crucial to Advancement's ability to carry out its mission of engaging a highly diverse body of alumni and families, and securing philanthropic support to advance the College's priorities. This position will provide support for the division by expediting data entry with accuracy.
The person in this role is expected to work as part of a collaborative and inclusive team including taking appropriate actions to support a diverse workforce and participating in the College's efforts to create a respectful, inclusive, and welcoming work environment.
Data Entry Responsibilities:
Update biographical information for Alumni and constituents such as address, email and phone numbers
Assist with data entry projects such as data clean up, entering remarks, contacts, interactions and other Slate data.
Enter a variety of contacts in Slate CRM for the Major and Planned Giving team, including visit reports, phone calls, emails and texts from a diverse set of alumni, parents, and other constituents
Help Operations team with other projects as needed
Reception Responsibilities:
Answer caller's basic questions and when appropriate route calls to other staff and departments.
Develop familiarity with online resources available to our diverse alumni body and be able to assist with questions such as using the alumni directory or registering for reunion.
Help a diverse group of alumni with password reset instructions.
Monitor departmental email accounts, replying to inquiries when possible, or forwarding to others as appropriate. Including replying to tickets assigned to alum help by IT helpdesk.
Distribute mail and packages, making it a priority to have gift mail ready for the gift processing team. Help with large mailings, including stuffing packets, and planning for delivery to CPMC.
Help to keep common spaces and storage rooms neat and organized
Creates an inclusive and inviting environment for a diverse set of colleagues and visitors.
Qualifications
Required:
High School diploma or equivalent
One to three years of related experience
Commitment to working with a diverse and inclusive community
Adaptable and organized- able to handle changing circumstances and priorities and follow-through on tasks.
Sensitivity to issues of confidentiality
Attention to detail
Excellent interpersonal, written, and verbal communication skills
Ability to take initiative, work independently and collaboratively
Proficient in Microsoft Office, Google Suite, and ability to learn new software
Preferred:
3-5 years office experience working in a higher education setting with a diverse group
Experience working with Slate or other relational database
Associate's degree
