We have an opportunity at our corporate offices in Chicago for a Staff Assistant II on our Physician Satisfaction team. This is a hybrid position reporting into our Chicago, IL office, requiring 2 days a week in the office.

As a Staff Assistant II, you will be under general supervision, provide administrative support for the Operations Administrator and others as assigned.

RESPONSIBILITIES:

Administrative Support

  • Provide administrative support for Operations Administration and other PS2 Staff as assigned by supervisor.
  • Prepare and submit necessary expense reports through Concur for all AMA business.
  • Responsible for making travel arrangements, maintaining calendars, and scheduling meetings with internal and external colleagues for assigned leadership staff.
  • Support PS2 project managers, OGC, and Finance in executing agreements with external vendors efficiently and accurately throughout the contracting process establish working relationships with colleagues in the AMA and external organizations with which PS2 interacts to ensure efficient handling of agreements, payments, and communications.
  • Provide backup services and assistance as needed to other PS2 administrative staff.

Operations Support

  • Support the Director of Content Strategy & Operations and GVP with tracking and reporting PS2 metrics to inform PS2 strategies.
  • Process payments required of PS2 when invoiced for services acquired through agreements.
  • Assist with maintaining database of contracts to track expiration dates, payment due dates, and other historical data.

May include other responsibilities as assigned

REQUIREMENTS:

1. High school graduate required; Associate's or Bachelor's degree strongly preferred.

2. At least three years related work experience required.

3. Strong interpersonal skills with the ability to interface effectively with people of varying disciplines and expertise.

4. Demonstrated ability to effectively manage time, prioritize work, and multi-task across many assignments; detail and task-oriented, with the ability to function effectively under tight deadlines, high workload, and execute deliverables on time and effectively as a team member.

5. Demonstrated ability to independently undertake and complete complex and detailed administrative projects.

6. Excellent business writing skills and a demonstrated understanding of business methods and administrative systems including budgets.

7. Strong sense of confidentiality and a demonstrated ability to exercise discretion and make independent judgments.
Proficiency in Microsoft Office suite of software required.

8. Demonstrated ability to function effectively in a team setting as well as independently.

9. Demonstrated ability to exercise confidentiality and discretion.

10. Solid communication skills, both verbal and written.
