Job Description

Primary Purpose
Serves as the primary contact in Houston for managing complex CEO and senior officer-related projects and business event functions to ensure all assignments are completed on time, within budget and to the CEO's/Executives' satisfaction. Provides detailed status reports to project Executive, manages the budget for each project and works on/completes multiple projects simultaneously. In addition, provides support to non-executive groups hosting events in the Houston office building.

Duties and Responsibilities

  • Internal Event Support: Independently consults with non-executive groups hosting events and trainings in the Houston office and secures rental items, catering, technology needs, and set up. Ensures groups have what they need to host successful events in-house. Provide guidance and recommendations based on knowledge and understanding of industry, as required.
  • Executive Event Planning: Plans and executes Executive events at the request of the Executive Projects and Events Manager. Meets with and collaborates with requestor to understand needs and requirements of events. Sources, recommends, and manages procurement of vendors for events such as deal signings, private dinners, board meetings, groundbreakings, etc. Researches and sources VIP gifts in accordance with cultural protocols and compliance rules.
  • Event Management: Leads cross-functional teams to project manage large employee recognition events such as Family Day and Holiday Party. Provides on-site support for complex events.
  • Documentation/Analysis: Manages and maintains all records regarding assigned projects. Evaluates success of events, vendors materials and overall coordination of every project. Researches standard practices of other Fortune 500 companies, and continually makes recommendations for improvements to enhance the reputation of our company. Maintains gift recording system for CEO/Officer gifts to external parties.
  • Performs other duties as assigned (no more than 5% of duties).

Education

  • Bachelor's degree in Marketing, Business Administration, Communications or equivalent education and experience required.

Experience

  • 5 years of project management support, event planning, and communications experience; or other relevant experience required.
  • 7 years of relevant experience preferred.

  • Proven ability to perform job functions with minimal supervision or delegation. Must be flexible, agile, and resilient, and have a demonstrated willingness to get the job done regardless of work level. Must be a proactive self-starter and problem solver with a desire to continually learn new skills.
  • Ability to anticipate and take a well-ordered and logical approach to analyzing problems, organizing work and planning action; ability to gather information and data before making decisions; and manage projects in a thorough and strategic manner.
  • Demonstrates strong relationship building skills at all levels.
  • Demonstrated project management skill. Must be extremely detail-oriented, thoroughly consider alternatives and weigh options and potential risks. Must be able to multi-task and prioritize competing projects.
  • Ability to develop creative solutions and consider new ways of thinking about situations, problems, opportunities.
  • Demonstrates ability to anticipate and meet the needs of Board/Executives in a timely fashion.
  • Ability to write communications to executives in a concise and logical manner and keep them informed. Must demonstrate excellent grammar and editing skills, as well as demonstrate knowledge of written and verbal VIP protocols and etiquette.
  • Must be professional, discreet and handle confidential information appropriately. Good judgment, diplomacy, poise and grace under pressure are essential.
  • Use collaborative approaches to establish and build support for objectives.
  • Must have strong computer and technology skills, to include proficiency in MS Word, PowerPoint and Excel; knowledge of MS Project is a plus.

Other Qualifications

  • Must be available to work occasional weekends and evenings.
  • Must be available to travel by car and airplane. Must be available for 10% overnight travel.

HYBRID: Work a combination of onsite and remote days each week, typically 3 days per week onsite.
