Company/Location Overview

The Fleet Coordinator organizes and communicates fleet dispatch; schedules pickup and delivery appointments, assists Traffic Mgr in fleet compliance with FMCSA, FRA, PHMSA regs and Liquor Transporter Permits; audits, organizes and files driver trip documents including POD; supports fleet performance reporting: generates freight invoices and maintains files: works with Materials Managers to support on time p/u and delivery of materials to Sazerac plants: supports Shipping Clerk as needed.

    Coordinate loads assigned to Sazerac Transportation. Manage appointment system for Sazerac Transportation to ensure all loads are scheduled on time. Ensure all internal customer expectations are met. Ensures work flow; organizes orders and ensures drop equipment loaded by requested ship date; ship confirms orders in ERP; processes BOL and manifests; checks daily and monthly shipping reports; and tracks shipping errors, code freight invoices, and prints load plan picks.
  • Execute processes, reports and data entry in SYS21 and TMS. Partner with internal and external customers to enhance reports, process flow and communications related to transportation and purchase orders. Assist Department Manager with priority setting of tasks for other department personnel. Ensure adherence to Personal Safety, Food Safety, Quality and Environmental Policies and Practices. Responsibility includes super user knowledge of TMS for use with location and fleet services.
  • Support Materials and Distribution Center Manager with inventory control. Work closely with purchasing and all facilities to ensure timely and cost efficient methods.
  • Understand and comply with safety requirements of Transportation Department; keep safety top of mind at all times and prevent co-workers from working unsafely. Report safety concerns, accidents and near misses immediately. Participate in safety inspections and accident investigations. Keep workplace clean and free of debris at all times.Continuously use and update the priority system to ensure efforts are focused on position outcomes and priorities. Update progress and successes in the Priority System.
  • Use PDS to enhance performance within the company through evaluation, planning, and goal execution. Strive to constantly develop oneself as a valuable asset through personal and professional growth and attention to the position's outcomes.
  • Document processes in contacting carriers; scheduling fleet pickup and deliveries. Maintains SOPs for shipping and dispatch functions. Streamline the document management flow (BOL's, scan folders, archives, etc.) process.
  • Establish well organized priorities for yourself. Provide the appropriate parties with regular feed back and timely updates. Utilize PPT system to continuously improve planning and organization.
  • Utilize CDS system to identify training needs and design development curriculum, programs and content for the purpose of preparing for career opportunities within the company. Provide feedback to manager regarding on-the-job learning opportunities.

  • Excellent oral & written communication skills
  • High School diploma or GED equivalent
  • Working knowledge of MS Office Products (Word, Excel and Outlook)
  • Strong planning and organizational skills
  • Yes relevant experience (minimum)
PREFERRED
  • Experience in Alcohol Beverage Industry or CPG overall
  • Bachelor's Degree
  • Yes Experience in manufacturing software (ERP, MRP, MPS, WMS)
  • Yes relevant experience in a fast paced environment
Physical Requirements
  • Ability to work overtime if necessary

Working hours are Monday-Friday 4am-12pm
