JOB TITLE: Specialist, Procurement

SUMMARY
Role is responsible for working with departments to ensure the proper vendor setup, paperwork, purchase orders and approvals are all completed. This position will be responsible for maintaining good relationships with the departments along with answering questions around the procurement policy.
This position requires that the employee be able to work with little or no direction from management as well as identify and take on additional projects for Procurement. The Procurement Specialist will provide recommendations and input to help improve organizational policies or procedures dealing with procurement. This position will support the Supervisor and Director in reviewing contracts as well as working on

special projects.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
* Maintain vendor list, including vendor set up in the Financial Management System as wells as tracking and uploading vendor contracts in Association Management System.
* Conduct evaluation and reevaluation of external vendors including quality, cost, and performance.
* Ensure that any new supplier meets the requirement established in the procurement policy.
* Monitor all purchases are consistent with AMPPs procurement policy and purchasing procedures.
* Place purchase orders with vendors for the procurement of production material and services as required to meet quick demand and turnaround times.
* Manage status of open purchase orders to ensure on-time delivery of all materials, including timely resolution, communication and mitigation of future potential problems, and active management/closure of completed POs.
* Develop relationships and work closely with Accounting staff to ensure the accurate recording of ordering/receiving/delivering supplies and inventory that is in sync with the Inventory Module within the Financial Management System.
* Assist with projects as needed and help in identifying areas for improvement across procurement processes.

No supervisory responsibilities required for this role.

TRAVEL REQUIREMENTS
Travel is not anticipated for this role.

EDUCATION and/or EXPERIENCE
* Associate degree or equivalent experience, required.
* 5+ years' experience in a procurement or supply chain role
* Vendor management, purchasing procedures or purchase orders is highly preferred
* Background in accounting with accounts receivable experience, preferred
* Experience with new vendor documentation and evaluation, and vendor price/delivery discrepancies, preferred

LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, members, employees of the organization, customers, and the general public.

MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, etc. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. Ability to develop and interpret business graphs.

REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, verbal, diagram, or schedule form.

OTHER SKILLS and ABILITIES
Must possess a specific level of communication skill both verbal and written. Have demonstrated personnel management skills including, but not limited to, the ability to evaluate staff performance and provide direction, is highly desirable. Ability to work in a multi-task environment taking into account various external factors and to communicate efficiently and accurately to both managers/supervisors and subordinate staff. Must be computer literate with knowledge and experience in word processing and spreadsheet softwares. Ability to learn and use association specific software.
