The standard work schedule will be Monday - Friday 8:00am - 5:00pm during the Academic Year.

7:00am - 6:00pm during the Summer Months

This position offers remote work allowing employees a combination of onsite and work from home options. The expected remote work schedule for this position is will be determined by the needs of the department.

Job Summary

This role plays a crucial role in supporting the Addictions and Substance Use Disorders department by conducting fundamental research, preliminary analysis, and providing seamless coordination and transactional assistance. Responsibilities include managing office operations, scheduling appointments, maintaining precise office records and reports, conducting essential research, and analyzing data. The position involves collecting and organizing pertinent information, summarizing data and correspondence, overseeing special projects and timelines, drafting communications, and collaborating with community healthcare and mental health partners. Additionally, the role actively contributes to various student success initiatives. The incumbent is responsible for monitoring and ensuring compliance with policies and procedures, while also adeptly gathering data, analyzing findings, and applying logic and reason. The ability to coordinate deadlines and prioritize tasks amidst competing demands is essential for success in this dynamic position.

This role holds a reporting structure under the Faculty Chair of the Addictions and Substance Use Disorders department, situated within the Academic Affairs division. The incumbent actively engages in departmental meetings and various related activities to foster collaboration and contribute to the overall goals of the department.

Essential Functions

30% - Conducts fundamental research and preliminary analysis in alignment with program responsibilities; proficiently gathers, compiles, analyzes, and summarizes pertinent information and data

20% - Creates and maintains a variety of correspondence, reports, documents, and records, adhering to established standards and guidelines for documentation and record-keeping systems

20% - Manages and updates schedules, calendars, and associated meeting materials, including the preparation of department meeting agendas, minutes, and hosting virtual meetings

20% - Assists in Human Capital Management (HCM), Financial Management System (FMS), and Student Information System (SIS) functions, encompassing delegate monitoring, supplies inventory management, budget and expense tracking, vendor communication, purchase coordination, and invoice reconciliation. Ensures compliance with established standards and guidelines

10% - Undertakes additional office and program support duties as assigned

Minimum Qualifications

Bachelor's Degree from a regionally accredited institution in education, business or public administration, or a directly related field and one year of experience in researching information, gathering data, performing preliminary analysis and preparing reports.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A. One (1) year of experience of demonstrated proficiency in maintaining intricate, accurate, and confidential records, both electronic and physical, along with a proven track record in preparing requisitions and assisting with budget monitoring
B. One (1) year of experience with hands-on experience with computer software, particularly Microsoft Office (including but not limited to Word and Excel), Google suites, and adept use of PC computers
C. One (1) year experience collaboration in a team environment and engagement with a diverse population, showcasing adaptability and effective interpersonal skills
D. Proficiency in composing standard office communications, including emails, letters, and reports, with a keen emphasis on detail and clarity. (Cover letter and resume will be evaluated)
E. Possession of relevant work experience or a degree in Public Health or an equivalent field, demonstrating a solid foundation in the subject matter.
