Assistant Operations Manager

The University of Notre Dame () is accepting applications for a Assistant Operations Manager.

We are seeking a highly organized and detail-oriented individual to oversee the business operations of our Transportation Services department. The Assistant Operations Manager will be responsible for a wide range of tasks, including fuel management, fleet management, payroll processing, billing, and ensuring compliance with licensing and Department of Transportation (DOT) regulations.

Responsibilities:

Fuel Management and Ordering: Manage the fuel management system, including ordering fuel as needed to ensure smooth operations of our fleet.

Fleet Management Records: Maintain accurate records related to the maintenance and operation of our vehicles, ensuring compliance with regulatory standards.

Hourly Payroll Processing: Handle the processing of hourly payroll for transportation staff, ensuring accuracy and timeliness.

Billing and Expenditure Functions: Manage billing processes and track expenditures related to transportation services.

Driver Training: Facilitate training programs for student and staff drivers, ensuring they are equipped with the necessary skills and knowledge to operate vehicles safely and efficiently.

License and DOT Compliance Records: Maintain records to ensure compliance with licensing and DOT regulations, including driver qualifications and vehicle inspections.

Vehicle and Cart Rental Operations: Serve as a backup for vehicle and cart rental operations, assisting customers and managing reservations as needed.

Process Improvement: Collaborate with the manager to identify and implement process improvement opportunities aimed at increasing efficiencies and maximizing resource allocation within the department.

Leadership and Support: Lead department operations in the absence of the manager, providing guidance and support to staff as needed. Represent the department in operations initiatives as assigned.




Minimum Qualifications:
  • Associates Degree or up to 3 years of college or technical school
  • 1-2 years relevant experience.


Preferred Qualifications:
  • Bachelors Degree or equivalent experience preferred.
  • Must be well organized and have a working knowledge of computers and related applications ( e.g. Google, Word, Excel, etc.).
  • Ability to operate and perform basic troubleshooting for departmental specific systems
  • as well as download and analyze reports.
