We have a job opening and exciting opportunity for a full-time Coordinator - Bids & Proposals in our Tiffin, OH location. The Coordinator of Bids & Proposals will lead the preparation and submission of winning proposals for our Government Division. In this role, the Coordinator of Bids & Proposals will work with cross-functional team members to help service the respective customers and respond Request for Proposals (RFPs), Request for Quotations (RFQs), and Requests for Information (RFIs) and manage the proposal development process to ensure on-time delivery of compelling, compliant, and well-written proposals. The position involves researching, writing, and producing a high volume of client-facing documentation on behalf of Concordance. This role will successfully communicate and collaborate with a variety of internal stakeholders including, Customer Enrichment, Sales, Procurement, Operations and other subject matter experts, as needed. Additionally this person will act as the sole customer service contact for all assigned customers- and thus, is a highly visible role.

Essential Functions:

Responsibilities include managing the different needs of stakeholders connected to their specific assigned region or market (sales staff, customers, other internal functional areas). This person will need to work hand-in-hand with the Government Account Managers and Directors to help Concordance achieve its business and customer service goals, providing the highest level of customer satisfaction. Besides completing these tasks listed below for their assigned region/sales staff/market, each Coordinator will also work as part of team helping all regions achieve their goals.

  • Develop relationships and excellent lines of communication with all supporting Concordance functional areas/departments such as Sales, Customer Service, Contracts, Purchasing and Operations, as needed to complete a project and/or resolve an issue.
  • Attend meetings with sales counterparts and other internal partners via conference calls or in person
  • Provide Data support for contract rich content uploads for various government contracts and billing requirements.
  • Support the Government sales team:
    • Review, project manage, compile, and respond to government requests for quote.
    • Provide customer support, including but not limited to customer communication, order disposition, product sourcing and substitutions, and general account management.
  • Assist with data collection and running of Government Report.
  • Collaborate with Contracts and Accounts Receivable Departments to review and correct pricing discrepancies/issues within assigned region.
  • Other duties as assigned.

What You will Need to be Successful:

  • High school diploma or equivalent required. Associate's Degree or higher in Business or related field or equivalent combination of education and experience.
  • Minimum of 3 years of experience in Customer Service / Inside Sales / Supporting role in similar business environment; or equivalent combination of education and experience.
  • Project management experience is strongly desired.
  • Ability to effectively build relationships at all levels of the organization.
  • Ability to work independently and as a member of a team.
  • Excellent leadership and project management skills.
  • Strong organizational skills and an attention to detail.
  • Strong analytical background.
  • Microsoft Office (Excel, Word, Outlook, and PowerPoint) knowledge required.
  • Demonstrated excellent presentation, verbal and written communication skills; and ability to speak in front of large groups.
  • Thorough understanding of the principles of supply chain and how Concordance's general business/framework operates.
  • Successfully pass a pre-employment (post offer) background check and drug screening.
