Summary:

The U.S. Army Aeromedical Research Laboratory (USAARL) Warfighter
Performance Group is looking for a Science Program Administrative Coordinator to
organize and maintain the scientific program structure and processes in support
of senior lab science administrators including scheduling, assistance with
proposals, and travel management.

Responsibilities

Essential Job Functions:

    Track and manage the science events and tasks that occur on a recurring basis, to include but not limited to:
    • Review and Analysis Meetings, IIPT Meetings,
    • Protocol Status Reports,
    • Science Command and Staff Meetings, and
    • Science Program Director (SPD) Meetings.
  • Track and monitor the status of the USAARL Internal Science Database to
    include ensuring that contents are current and complete, and preparing
    periodic reports of the database status for the Science Program Director and
    Science Program Administrator.
  • Maintain research program summary status reference materials, to include
    program roadmaps, budget information, current and future program briefing
    information, and other reference material as needed (SPD book).
  • Assist with the recurring administration functions of the Science Program,
    ensuring effective communications across all program areas, and by
    following DoD, Army, and organizational templates and best practices.
  • Manage day-to-day operations of the office by answering/screening phones;
    greeting visitors; managing and creating documents, briefings, and reports;
    and coordinating logistics to provide support for conference rooms.
  • Manage, maintain, and de-conflict calendars and schedules for leadership, to
    include coordination with external agencies and organizations.
  • Maintain the daily and leave calendars for the science leadership.
  • Draft, review, staff, file, format, and update a variety of documents (e.g.,
    memoranda, briefings, information papers, presentations, issue papers,
    meeting minutes, etc.).
  • Travel management for science leadership. Provide DTS support and
    administration for the Science Program Director (SPD) and Science Program
    Administrator (SPA), including the creation of travel orders using DTS,
    coordination of travel arrangements for transportation and accommodations,
    assistance with travel vouchers, and assistance with the preparation of
    required paperwork for OCONUS travel.
  • Track all internal (blue form) travel request submissions.
  • Review, edit, and properly channel requests to the correct point of contact.
  • Provide 'back-up' coverage for the Commander's Secretary between the hours of 0800 and 1700 as needed.
  • Follow all security processes for the organization.
  • Conduct accountability surveys during fire drills and other emergency evacuation events.
  • Assist with the preparation of PowerPoint and other presentations for official briefings.
  • Assist with document control and perform administrative updates of regulatory documents.
  • Travel in government vehicles, including aircraft, in support of contractor duties.
  • Assist in the planning and execution of symposia, workshops, etc., sponsored by the Laboratory, coordinating all interagency (i.e., internal and external stakeholders, within Government and internationally) interaction, coordinating with staff and leaders of other organizations and planning and executing internal and external meetings, conferences, and special events, including but not limited to:
    • Ensuring that locations are properly booked for use,
    • Developing agendas,
    • Sending meeting requests and notifications,
    • Ensuring background documentation, visuals, and briefings are prepared,
    • Setting up the meeting space and web- or teleconference, and
    • Providing support during the event.
  • Aid in preparing and routing manuscripts and presentations authored by the CDR, SPD, or SPA.
Qualifications

Necessary Skills and Knowledge:

  • Excellent communication skills, both verbal and written.
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Proficient in Microsoft Office Suite and database management.

Minimum Qualifications:

  • Proven experience in administrative roles, preferably in an educational or scientific setting.
  • Ability to obtain and maintain a Secret Security clearance.

Preferred Qualifications:

  • Bachelor's degree in business administration or related field.
  • Currently possess an active Secret Security clearance.
