Primary Responsibilities

In the role of Administrative / Marketing Assistant, we'll count on you to:

  • Answer, screen, and direct calls in a courteous and professional manner; take messages and/or forward telephone calls to appropriate employee/voice mail.
  • Meet and greet all visitors, clients and employees; determine their needs and direct them to the appropriate employee/locations.
  • Keep conference room(s) clean and organized. Order lunches for in-house events and meetings. Coffee/water, meal set-up for client meetings.
  • Open, date stamp, and route incoming mail. Prepare and forward outgoing mail, UPS packages and courier deliveries.
  • Assist writing non-technical text; support staff in the development of technical proposals and documents; and edits and proofreads marketing communications and project documents as needed.
  • Perform general clerical duties, including, but not limited to; ordering office supplies, filing, photocopying, scanning, and faxing; type and distribute internal and external correspondence as assigned to include; specifications, letters, memos, reports, proposals, contracts, labels, etc.
  • Project tracking and entering of information into our proprietary system
  • Technical editing and formatting of project related documents
  • Assist marketing team in preparing base presentations, coordinating graphics and the development of interview materials and practice sessions.
  • Prepare graphics and provide formatting assistance to technical staff on client deliverables.
  • Assisting project managers with administrative documentation - typing, revising and combining material such as correspondence, reports, records, forms, meeting minutes, scientific or technical material, numerical data, and tabular information from rough draft among others.
  • Perform data entry duties as assigned.
  • Requires coordinating with team members located in multiple offices and from multiple firms.
  • Special projects as assigned.
  • Perform other duties as needed.

Qualifications

Required Qualifications

  • High School diploma or equivalent
  • A minimum of 3 years experience in administrative support
  • Excellent verbal and written communication skills (grammar, writing/editing, etc)
  • Flexibility and ability to prioritize and handle multiple tasks
  • Proficiency with MSOffice including Microsoft Word, Outlook, Excel, and PowerPoint
  • Self-motivated, well-organized and detail-oriented
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
  • An attitude and commitment to being an active participant of our employee-owned culture is a must

Preferred Qualifications

  • 1 year of documented layout and production experience
  • Associate or Bachelor's degree in Business Administration or related field preferred
  • 5 or more years of professional office related experience
  • Experience with Adobe InDesign preferred
  • Preference given to local candidates
