Organization:
United Food and Commercial Workers International Union (UFCW) is North America’s neighborhood union; standing together to improve the lives and livelihoods of workers, families and communities.  Our members work primarily in the retail food, meatpacking, poultry, food processing and manufacturing and retail store industries.

Location:
Washington, D.C.

Position Description:
Provides primary assistance and support to the Director.  Assists the Director with supervising and coordinating the department’s clerical and/or administrative support staff. Is the department’s principle source for UFCW and department policies, procedures and protocol.

Duties and Responsibilities:
Includes the following. Other duties may be assigned. This list is not exhaustive and may be supplemented.

Assumes administrative and business detail for Director including but not limited to, typing, preparing and submitting expense vouchers, filing, faxing, answering telephones, composing correspondence, scheduling appointments and updating calendars, coordinating travel arrangements and schedules and distributing information to the staff.

Analyzes department operations and procedures. Evaluates office production, revises procedures or devises new forms to improve office efficiency. In consultation with the Director, communicates department procedure changes to support staff as needed.

Directs and supervises support staff to ensure efficient administrative operations for the department in a time sensitive, deadline-oriented work environment. Assists the Director in addressing performance issues.

Works with the Director on vendor related projects.

Gathers appropriate attendance information from the department staff to ensure completeness, accuracy, and timeliness of the department's attendance report. Forwards completed attendance report to the Director and then to the Human Resources Office. Resolves discrepancies.

Approves unscheduled leave in the absence of the Director.

Initiates Wellness Programs and the UFCW Christmas Party preparations.

Assists with set up and implementation of events assigned to and/or organized by OSS.

Provides support to the Director during department budget preparation. Also monitors the budget to ensure expenses are categorized properly.
Maintains records including sensitive and/or confidential documents. Prepares records for retention medium according to the UFCW Records Retention Schedule.

Coordinates and manages day-to-day jobs assigned to the Printing, Shipping and Receiving Office, including arranging resources and supplies to complete jobs.

QUALIFICATIONS

Education and/or Experience
Five to seven years of administrative experience.  Must have supervisor experience or completed supervisory training.  Advance knowledge of UFCW structure, policies, and procedures.

Computer/Software Skills
Intermediate skill level using Microsoft Word.

Communication Skills
Advance written communication skills and composition skills.  Ability to present information effectively and respond appropriately to people at different levels inside of the organization and externally, orally and in writing.  Good listening and interpersonal skills.

Other Knowledge/Skills/Abilities Required
Ability to direct, organize and prioritize the work of others.

Ability to exercise independent judgment in line with organization needs, as well as in matters of political sensitivity.
           
Perform a wide range of administrative and general support duties.
           
Must be self-directed and demonstrate strong attention to details.

Ability to add, subtract, multiply, and divide in all units of measure.
           
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
                       
Ability to define problems, collect data, establish facts, and draw valid conclusions.

Job Demands
The work atmosphere may be fast paced at times.  Work may be performed under stressful situations, with multiple projects occurring simultaneously under deadline.  Most deadlines are predictable.

Working Conditions
The work is performed in a normal office environment.  The noise level in the work environment is usually moderate.

Physical Demands
This position involves, but is not limited to, written and oral communications skills, use of computer keyboard, close vision, sitting for long periods, stooping, bending and reaching.
