Job Description
Join our team who is committed to the delivery of the highest quality health care service.  We are seeking a full-time Administrative Assistant to VP, Behavioral Health that is self-motivated, energetic, and a take charge individual.

Job Responsibilities:
  1. Supervise and manage the schedule of the Vice President of BH, including timely and accurate coordination of internal and external meetings.  
  2. Represent the office of the Vice President of BH in a professional and friendly manner; provide a comfortable environment for meetings, and a friendly, efficient contact for outside agencies.
  3. Provide administrative and clerical support to the Vice President of BH as well as to medical/behavioral health providers and support staff that report to the Vice President of BH.
  4. Assist with coordination of provider events, for example, the Provider Retreat, BLT Retreat, Provider/LT Breakfast, etc.
  5. Apply critical thinking skills to assigned projects and tasks.
  6. Record and archive accurate minutes for all attended meetings as requested.
  7. Maintain personnel files for all Behavioral Health providers to include the tracing and maintenance of CME acquisitions and balances. This includes Track CME expenses for BH provider during the fiscal year.
  8. Manage provider offers and communications, including the maintenance of all provider contracts, addenda, and salary spreadsheets. Includes providing various reports for determining provider pay rates and may also include Time and Labor accounting for hourly employees.
  9. Assist in completing change of status forms as necessary.
  10. Provide licensing information and other pertinent data to Credentialing Specialist for new and existing providers.
  11. Work with other administrative functions to maintain annual paperwork as necessary, i.e., current liability insurance, immunizations, etc.
  12. Renew provider licenses (state & DEA).
  13. Calculate the monthly productivity data needed for provider productivity reports.
  14. Work with each respective business function, orients new staff and assures that training, practice establishment and education needs of staff are met.
  15. Oversee inventory and stocking of materials and supplies in BH, utilizing organizational purchasing and inventory processes and standards.
  16. Assist in developing training for new support staff members if needed.
  17. Prepare annual performance evaluation materials for the Vice President of BH.
  18. Track completion of performance evaluations for all employees reporting to Vice President of BH.
  19. Maintain records of provider loan repayment program, agency-paid professional memberships, and licenses. 
  20. Provide accurate information and pertinent information to NHSC for participating providers.
  21. Arrange administration of semi-annual Patient Satisfaction Surveys.
  22. Prepare weekly purchase requests for the BH department.
  23. Arrange payment of various department costs. 
  24. Provide documentation and arrange payment of Vice President of BH’s agency-issued credit card.
Qualifications: 
  1. Bachelor or Associate degree in related field or equivalent experience.
  2. Excellent oral and written communication skills.
  3. Bilingual Spanish preferred but not required.
  4. Ability to research and organize data and information.
  5. Computer use proficiency: specifically, use of Microsoft Professional software.
  6. Able to work confidentially with discretion.
  7. Able to relate to people of diverse ethnic and cultural backgrounds.
