The Secretary Level I is assigned to the Organizing and Collective Bargaining office and provides secretarial support to designated specific key staff within the Organizing Department and other designated departments and divisions staff persons as needed. The Secretary Level I also assist with the processing of the scholarship program.
Duties and Responsibilities: Performs secretarial and general office duties for specific staff in designated departments and division including, but not limited to, typing and preparing letter/memos, submitting, reviewing, and approving expenses using SAP Concur expense management system, check requests, filing, scanning, answering telephones, entering attendance data, itineraries, answering telephone calls, faxing, filing and assisting with coordination of meetings and conferences.
Provides secretarial support in the administration of the UFCW Scholarship Program including maintenance of scholarship recipient files and payment records, application screening, annual report preparation, notification of scholarship winners and UFCW regional and local union scholarship election process correspondence. Review and respond to emails regarding scholarship related questions.
Provides backup support to the Organizing Department as needed.
Opens and distributes mail on a daily basis.
Maintains daily attendance reports of assigned staff.
Maintains office supplies and serves as key operator for the copying machine.
Entry level secretarial position requiring a limited amount of previous experience. Knowledge of the organizations structure, policies and procedures is desirable.
Ability to use MS Word to create and properly finalized documents related to duties and responsibilities is required.
Ability to comprehend rules, policies, and procedures, and the ability to communicate them to others.
Must demonstrate strong attention to details.
Ability to add, subtract, multiply, and divide in all units of measure.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
DURATION: Full-time position; posting closes when position is filled. COMPENSATION: Salary commensurate with experience.
