Position Summary:

The Office of Admission and Recruitment at UW-Platteville seeks an Administrative Assistant II. This position is responsible for supporting the Director in completion of all administrative tasks within the office. Duties include assisting the Director with budget tracking and management, purchasing, campus communication, daily and bulk mailings, arranging event logistics, scheduling, answering phone and email, and greeting walk-in customers. The Administrative Assistant II represents the Office of Admission & Recruitment and the University to many constituents, including prospective students and their families, representatives from school and community-based organizations, campus faculty and staff as well as current students. Attention to detail and strong written and oral communication skills are important to ensure service is professional, efficient, and friendly. A small portion of the assistant’s time will be spent providing administrative support to the other offices located in the same space.  

This is a full-time, benefit, and paid leave eligible position. Wage for this position is $18.00 per hour.

Responsibilities:

  • Administrative Tasks
    • Assist Director with budget management using the campus budget system WISER.
    • Manage equipment and work order process requests with Facilities Management.
    • Track and order supplies for the office staff.
    • Prepare and deliver daily mailings. 
    • Support the Director by creating purchase requisitions, following purchasing policies and procedures, and adding new suppliers.
    • Assist staff with registering for and scheduling campus visits, college fairs, training events, etc.
    • Maintain publications and swag inventory.
    • Assist in preparation for the Wisconsin Education Fair held on the UW-Platteville campus each October.
    • Coordinate conference travel plans for staff (airline, vehicle, and hotel reservations).
    • Assist with search and screens within the office by being the administrative person.
    • Assist with daily campus visits when needed.
    • Collect, analyze, and prepare various communication materials from established sources utilizing technology mediums.
    • Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision.
  • Front Desk Management
    • Answer incoming phone calls and utilize the capabilities of the current phone technology.
    • Assist walk-in customers.
    • Establish procedures to always ensure excellent customer service.
    • Assist in the maintenance of office calendar.
    • Manage Admission email.
    • Maintain established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures.
  • Support other offices in the Division of Enrollment Management and Marketing
    • Provide limited administrative support to the Marketing Office and the Senior Enrollment Officer.
    • Will likely include budget management, purchasing, and scheduling tasks.
  • Perform other duties as assigned.

What You’ll Need to Succeed:

  • High School degree/GED
  • Experience working in customer service and/or in an office environment (can include part-time experience and/or internship experience)
  • Verbal and written communication skills
  • Ability to balance competing priorities and problem solve
  • Capacity to work in a fast-paced environment with a substantial amount of collaboration with internal and external stakeholders
  • Proficiency in Microsoft Office suites paired with the ability to adapt to various technology platforms.
  • Demonstrated understanding, commitment to, and/or experience with under-represented groups and initiatives that enhance inclusive environments
  • Valid Driver’s license and ability to operate a motorized vehicle
