Trademark Docketing Specialist/Administrative Assistant

YOUR TASKS AND RESPONSIBILITIES

The primary responsibilities of this role, Trademark Docketing Spec Admin Asst, are to:

  • Provide specialized support to the U.S. Trademark Group, applying a thorough understanding of internal and external trademark practices, procedures and requirements relating to all phases of clearing, filing, prosecuting, maintain, defending, and enforcing Bayer trademarks;
  • Completely, timely and accurately capture and enter all key trademark attributes and deadlines in Bayer s eFiLiA electronic recordkeeping and docketing system, updating entries on a continuing basis as appropriate; and timely and accurately maintain hard copy or paper trademark files and records;
  • Monitor and update on a daily basis all relevant dates and deadlines for trademarks on behalf of the U.S. Trademark Group, including, without limitation, office actions, notices of allowance, extensions of time, statements of use, opposition deadlines, powers of attorney, and legalization of documents; accurately and timely alert trademark attorneys and paralegals to upcoming due dates and deadlines;Prepare and circulate regular docket and reminder reports indicating the status of trademark matters, including applications, registrations and oppositions;
  • Maintain a centralized Outlook email in box, reviewing daily to determine required activities; capture and enter any due dates or reminder dates for entry into eFiLiA; and alert trademark attorneys and paralegals of due dates and required trademark activities as appropriate;
  • Effectively monitor and track U.S. Trademark Group activities, actions, and responsibilities oppositions, agreements, licenses, search projects, assignments, infringements;Enter deadlines and reminders in eFiLiA or internal reminder reports; and alert trademark attorneys and paralegals of the deadlines and responsibilities as appropriate;
  • Analyze, reconcile and prepare internal journal entries allocating trademark fees charged to Bayer account used for paying all trademark related filing fees to charge back to appropriate businesses; accurately and timely prepare and submit expense reports for approval and payment of trademark related fees; analyze and prepare regularly scheduled journal entries and annual variable billing to charge back trademark costs and fees to local and global business units;
  • Accurately and timely open billing matters in Legal Tracker for trademark matters and process outside counsel and vendor invoices,including coding and determining allocations to and obtaining approvals from the various business units; process outside counsel and vendor, invoices, including coding and determining allocations to and obtaining approvals from various business units; investigate, respond and resolve invoice payment issues and questions.
  • Prepare, notarize and manage legalization of legal documents; prepare reports, correspondence and memorandum under the guidance of attorneys and paralegals; open, analyze and manage incoming mail; manage meeting planning and preparation as needed; manage business travel arrangements as needed; perform additional tasks and responsibilities as assigned by trademark attorneys and paralegals.
  • The candidate must be able to work accurately and in a timely manner and be able to exercise good judgment, creativity and analytical thinking.
  • Help position and the Trademark Group overall are responsible for securing, maintaining, defending, enforcing, and licensing intellectual property rights inherent in trademarks being used or intended for use on and in connection with Bayer products and services.
  • U.S. Trademark Group has global responsibility for marks owned, developed or primarily used by the U.S. businesses, and files, prosecutes and maintains trademark applications and registrations in the USPTO and multiple foreign jurisdictions. The trademark registration process is highly specialized, involving lengthy (typically covering a span of years) and complex procedures, especially when filings in numerous foreign jurisdictions are required.
  • Strict adherence to legally prescribed processes and all deadlines is critical. Properly establishing rights in a trademark and then actively maintaining and defending those rights is essential.
  • Bayer trademarks are fundamental to establishing the brand recognition needed for successful commercialization of a product line, and the goodwill associated with a trademark can represent an extremely valuable asset for Bayer.
  • The Trademark Group heavily relies on the Docketing Specialist for compiling, capturing and timely monitoring the records of these valuable trademark assets.
  • Individual Contributor and Team Member Provide trademark matter recordkeeping, docketing and monitoring assistance to Trademark Group professionals. Actively participate in projects relating to the clearance, filing, prosecution, registration, maintenance, and recordkeeping of trademarks.

  • Analyze and prepare regularly scheduled journal entries and annual variable billing to charge back trademark costs and fees to local andglobal business units.
  • Allocate and process annual Copyright Clearance Center, BMI and ASCAP license costs to appropriate business entities

Required qualifications:

  • Associates Degree or an equivalent number of years of relevant work experience, knowledge of and familiarity with intellectual property trademarks, copyrights and patents, related docketing, trademark processes and procedures;
  • Proficiency in Microsoft Office applications excel, powerpoint, word, sharepoint, and teams)
  • Experience working in electronic databases Ability to manage multiple tasks and prioritize activities and duties as necessary;
  • Extremely detail oriented and precise;
  • Exceptional organizational and time management skills;
  • Successfully work with minimal supervision in a high volume environment;
  • Excellent verbal and written communication skills;
  • Strong client service and interpersonal skills with being amicable work with employees at all levels of the organization;
  • Notary Public experience with Legal Tracker and Contract Lifecycle Management System (CLMS);
