The Opportunity

Manages the purchasing for operational functions of Facilities Management and does purchasing and inventory necessary for the warehouse area of the Facilities Management Department including both operations and projects when necessary. Includes both computerized and manual processes, and distribution of all parts and materials with a focus on APPM consistency along with efficiency of completing campus repairs and maintenance functions. Establish suitable levels for all plant materials especially items used frequently for emergency purposes. Consults with Facilities Management colleagues to ensure efficient industry operations and to insure parts compatibility. Coordinates with all Facilities Management staff for anticipated materials for future job requirements. Prepares inventory control data to establish usage levels, shelf-life expectancy and economic point of reorder.

Responsible for upkeep and maintenance of the physical stock room area and conducting monthly cycle counts. Responsible for acquiring parts from and coordinating deliveries. Maintain a high level of appearance and professionalism. Candidate must have and maintain a clean driving record.

Responsible for backing up the Office Associate for the University Loaner Vehicle Program.

Assist in managing the entire Facilities Management Materials Acquisition system, both computerized and manual processes, to include procurement, tracking, and distribution, invoicing and budget reconciliation. Primary contact with university purchasing agents, accountants, Facilities personnel and vendors for the fulfillment of materials orders. Coordinate with Foremen for anticipated materials for future job requirements. Develop and formulate information for use by the Facilities Management, Manager of Facilities Operations, in order to maintain current expenditure levels and forecast trends.

Qualifications

Required Education:

  • Read and comprehend instructions, write information, and complete simple forms.
  • High school (or GED) level ability in spelling, grammar, basic composition, and math.

Required skills, knowledge, abilities:

Analytical skills with an in-depth knowledge of information systems and technical expertise with Microsoft operating systems, Access, Excel, PowerPoint, Word, Outlook/email, and Internet end-user applications.

Required minimum number of years work related experience:

3-5 years
