Job Description
General Description
This is a great opportunity for a motivated, highly detailed, and organized accounting and human resources professional who is looking to develop a long-term career with a small and rapidly growing private environmental, planning, and engineering consulting company.
Reporting to the Administration and Finance Officer, the Accounting and Human Resources Manager will have day-to-day responsibility for managing and implementing financial, accounting, human resources, and administrative activities of the company. This is a senior position working in the Phoenix, Arizona office with limited remote work opportunities.

Specific Duties and Responsibilities
Accounting
  • Submit payroll to payroll processing company, distribute checks, make bank deposits, and maintain records.
  • Collect and maintain independent contractor information and file 1099 NEC forms.
  • Collect and maintain certificates of insurance for all subcontractors and assist with annual workers’ compensation audit.
  • Organize and update financial records; monitor bookkeeping.
  • Oversee General Ledger functions; assure accuracy, timeliness, and conformity with professional accounting standards and best practices in accordance with GAAP.
  • Perform month-end and year-end close.
  • Regularly examine financial statements and ensure they are accurate and free of any errors.
  • Reconcile Vernadero operating accounts and lines of credit.
  • Update cash position reports.
  • Update monthly profit and loss reports and tracking graphs.
  • Track contract billings for all projects and enter invoices into WAWF and Ajera.
  • Handle collections on past due receivables.
  • Collect and prepare information for annual workers compensation audits.
  • Review expense reports for proper documentation and approval, reconcile them with charge card statements, and enter employee reimbursements into Ajera.
  • Record financial data in adherence to current tax laws and regulations.
  • Keep company information confidential.
  • Stay abreast of industry changes and current tax/accounting laws.
Human Resources and Administration
  • Maintain cloud-based electronic personnel records.
  • Advise employees of benefit eligibility; provide application information; help with form completion; verify submission; notify employees of approvals.
  • Update human resources records by recording new hires, transfers, terminations, changes in job classifications, and merit increases; track vacation, sick, and personal time.
  • Orient new employees by providing orientation information packets, reviewing company policies, and explaining and obtaining signatures for benefit programs.
  • Document human resources actions by completing forms, reports, logs, and records.
  • Update job knowledge by participating in educational opportunities; read professional publications.
  • Serve as mediator for employees who are having issues with other employees or supervisors. Resolve the issue, if possible, but advance it to the company principal if necessary.
  • Track employee birthdays and anniversary dates to make sure that we acknowledge them.
  • Track employee’s veteran status and file annual Vets 4200 forms for each location.
  • Provide as-needed support for editorial/proofreading and miscellaneous administrative or clerical services such as preparing certified mail, dropping off mail and FedEx packages, preparing client deliverables, purchasing supplies, maintaining marketing materials, etc.
A successful candidate for the position will likely have a majority of the following:
  • 10+ years of professional progressive accounting experience
  • An advanced accounting education or BA/BS degree in accounting or finance
  • Experience with credit card merchant accounts and expense report reconciliation
  • Experience in AP, AR, payroll, and all matters related to producing accurate, timely, and reliable financial information
  • Knowledge and experience reading and maintaining income statements and overall income and balance sheet statements
  • Some knowledge and experience with indirect cost allocation by revenue, by cost, by labor hours
  • Proficient knowledge using accounting ERP software, Deltek Ajera preferred
  • Strong working knowledge of fundamental operations of computers – Microsoft Word and Outlook, with proficiency in Excel having knowledge of advanced formulas and functions preferred
  • Experience in working within tight deadlines and ability to effectively multitask
  • Strong teamwork skills and able to coordinate across multiple business functions
  • Detail oriented, organized, and a self-starter able to work in a fast-paced environment
  • Ability to carry out productive interactions with multiple stakeholders including employees, clients, and partners
  • Experience with human resources management or processes.
  • Excellent professional demeanor and strong verbal and written communication skills demonstrating accurate grammar and spelling during communication when writing emails, preparing documents, and speaking
  • Experience working in a private environmental or engineering company
  • Experience working with federal government clients and customers
Working Conditions and Requirements
  • Working conditions are typical for a professional office working environment. The normal work week is Monday through Friday. Availability to work outside of the normal work week and schedule flexibility may be required from time to time.
  • This position works out of the Phoenix, Arizona office and is expected to be on the premises during working hours. Some limited remote working opportunities may exist; however, due to the nature of the position, on-premises, in-person participation in daily activities of the company is important.
  • Must be a U.S. citizen and have an ability to pass and maintain a security clearance.
