We're looking for: Subpoena/Order Entry Clerk (internally known as Process Serving Specialist)

Full time, M-F, (8am-5pm)

The Subpoena/Order Entry Clerk's role is to assign legal documents to be served by a network of vendor Process Servers, or in-house Independent Contractor Process Servers. The Process Serving Specialists also process Invoices and Field Sheets received from Process Servers, maintains timely contact with Servers for updates on the status of serves and pending proofs of service or non-service, as well as provide clients with status updates regarding completed or incomplete serves.

Responsibilities

Essential Functions

    Monitor the ABI website for incoming Serve Only Orders and maintain the Order Volume spreadsheet to ensure that all serves are done by or on the due date.
  • Assign out Records and Serve Only Orders to the appropriate Process Server, or mail to remote areas.
  • Process incoming Invoices and Field Sheets received from Servers to ensure that all applicable charges are applied in the computer system(s) and that Process Server's invoices are submitted timely to Accounting for the correct amount(s).
  • Enter status into the computer system(s) documenting all conversations and correspondence with Process Servers and/or clients.
  • Maintain an organized bin rotation of all Serve Only and AOS Work Orders in your control, as defined by office procedure.
  • Contact Servers for updates on the status of serve, as well as the AOS or AONS document, as defined by office procedure.
  • Provide clients with updates regarding the status of serves.
  • Send legal documents to the Court weekly.
  • Issue checks for witness fees and other advance fees.
  • Maintain contact between counterparts in other Florida office.
  • Route Work Orders to the billing Department in a timely manner, as defined by office procedure.
  • Mail hard copy Notices to all parties in the case.
  • Update Process Server Database.
  • Perform internet research as needed to locate a physical address and/or registered agent for business entities you are required to serve.
  • Assist with clerical duties in all departments as needed and assigned by your Supervisor/Manager.
Qualifications
Educational and/or Experience Requirements
  • High School Diploma or equivalent required. Some college desirable but not required.
  • Prior work experience in an office setting preferably in the legal, process serving or insurance claims industry.
Skills and Abilities
  • Proficiency at typing, preferred level of at least 45 wpm.
  • Good understanding of the organization's goals and objectives.
  • Highly self motivated and directed.
  • Ability to adapt to change and absorb new ideas and concepts quickly.
  • Good analytical and problem-solving abilities.
  • Ability to effectively prioritize and execute tasks in a high-pressure environment.
  • Excellent telephone etiquette, written, interpersonal and organizational skills.
  • Has some understanding of the internal processes of medical facilities and med-legal terminology.
  • Bi-lingual English-Spanish a plus.
