Position Purpose
    The purpose of the Operations Coordinator is to support all operational departments by project set-up, timesheet review, paperwork validation, contract and project billing to ensure client specific invoicing requirements are met and our Accounts Receivable aging is minimized.
Duties and Responsibilities
  • Perform / review the field technician ADP time entry and project coding for all operational employees in preparation for manager approval, with absolute assurance over data submission and coding accuracy; this includes reviewing and validating hours worked in conjunction with billing documentation to account for all hours.
  • Perform quality control review of all field documentation including but not limited to timesheets, reader sheets, customer specific backup, and other required paperwork.
  • Review and understand the client contracts and rate sheets, working together with the Contracts Department to ensure client and project setup are accurate and billing rates are applied correctly to pro forma invoices as per client specific and project specific requirements.
  • Entry of all billing data into Company ERP system weekly up to invoice finalization status; ensure billing is completed, finalized, and sent to the client accurately and timely. This includes submission into client portals and acceptance.
  • Responsible for the complete and accurate tracking and reconciliation of project expenses, hours and support in client mandated systems or spreadsheets.
  • Coordinate and assist all work order set up requests according to the project reporting hierarchy requirements of both Project and Customer Management; follow and submit requests for project order setups.
  • Coordinate and assist with field technicians and clients to ensure we have the correct data to set up and communicate project tracking information.
  • Responsible for the generation of simple project data reports upon the request of management including hours worked for clients, non-billable hours, and other reports as requested.
  • Contact for Regional Directors and Division Managers; assisting and supporting their inquiries and maintaining communication with them.
  • Other clerical duties as required including but not limited to maintaining files, copying, scanning, and other required duties.
  • Assist with client collection activities on past due invoices, invoice resolution for payment.
  • Follow and enforce Company policies at all times.

Knowledge and Skills
  • Must have working knowledge of MS Office Suite of products
  • Must have working knowledge of ERP systems and/or Project Planning applications
  • Ability to review and understand field paperwork and how it relates to customer contract and billing requirements.

Education and Work Experience
  • 2 years of applicable office administration experience.
  • 2 years of applicable billing experience in a project ERP system, and/or project planning and scheduling system / software preferred.
  • Bachelor's Degree (BA/BS) in a related business course, preferred
  • Collections experience preferred.
  • Employees must be legally authorized to work in the United States. Verification of employment eligibility will be required at the time of hire. Visa sponsorship is not available for this position.
