We have a Sr. Parts Coordinator Position in Manufacturing!

What does the Sr. Parts Coordinator do?

Under the general direction of the National Service Manager, the Sr. Parts Coordinator will work to meet Caljan’s customers’ needs related to repair/spare parts by generating sales to new and existing accounts and processing all orders in an accurate and timely fashion.

  • Manage all facets of parts order fulfillment to include, but not limited to, generating proposals, quotation follow-up, processing purchase orders, open order management and issue resolution

  • Identify and research issues of greater impact or technical complexity and present these to management or the appropriate internal experts for resolution

  • Take orders via e-mail or telephone, check inventory and process orders and invoice customers in Microsoft Dynamix AX (ERP)

  • Assist customers in identifying items, provide prices and discounts and quotes that reflect accurate/realistic pricing and lead times

  • Partner with Caljan Account Managers to serve larger accounts and provide aftermarket parts sales support with a goal to exceed company aftermarket parts sales orders and revenue targets through cross-selling and up-selling

  • Build relationships and confidence through positive customer contact, with both internal and external customers, by responding to the more technical or complex service questions from customers and applies judgment in resolving service, warranty or technical problems in a professional, timely manner and completing follow-ups

  • Generate shipment invoices ensuring ship date on the order is set to proper lead time

  • Administer physical and digital filing systems that are well-organized and easily retrievable by team members

  • Maintain accurate and current customer account contact information for e-invoicing

  • Expedite orders per customer request

  • Coordinate customer orders with counterparts at Caljan Inc including Engineering, Operations, and Sales

  • Report Key Performance Indicators (KPI’s) such as outstanding customer issues, monthly quotations created, monthly revenue, and part order backlog to the National Service Manager in a timely and efficient manner

  • May provide work direction to others

What do you bring?

  • High school diploma or general education degree (GED)
  • 2+years of industrial machinery parts sales/service experience and/or technical sales experience
  • Proficient in Microsoft Office Suite
  • Minimum of two years’ experience working with an ERP system, preferably Microsoft Dynamics AX
  • Ability to read and understand mechanical and electrical drawings as it applies to researching replacement parts
  • Strong product/service knowledge
  • Excellent customer service skills
  • Ability to work in a high growth/continuous change/fast-paced environment
  • Team player and able to work with all levels of an organization
  • Excellent verbal and written communication and collaborative/interpersonal skills
  • Ability to resolve conflict and negotiate win/win solutions
  • Strong organizational skills
  • Detail-oriented
