Job Responsibilities:
Provides a range of technical, statistical, administrative and clerical duties to enable the organization to maintain a high level of customer service and to support executive officers in a highly effective and efficient manner. Responsible for maintaining confidentiality, accurate information, and other records and correspondence necessary to support the executive officers. Assists with the development of written content and other information to support high levels of customer service, respond to public inquiries and provide information about the organization.

A. Creates and modifies documents such as reports, memos, and letters; including writing content, taking and transcribing minutes/notes, and preparing confidential correspondence and other complex documents.
B. Provides support by creating dashboards, charts, spreadsheets, statistical tables, databases and ad hoc reports.
C. Composes or collects visual and written materials for meetings, speeches and presentations; including but not limited to text, graphics, and statistical data and analysis.
D. Interacts with the organization's Board of Directors and board committee volunteers as directed; prepares and distributes meeting notifications, agendas and meeting materials; and maintains Board and committee digital information resources.
E. Attends Board, committee and other meetings as requested in order to record minutes and then compile, transcribe and distribute minutes of such meetings.
F. Coordinates the CEO's schedule, appointments, reservations and travel arrangements.
G. Greets and assists guests; coordinates food and beverages as required for meetings.
H. Responsible, in conjunction with the loss prevention department, for key and badge access control for the Harrisburg campus.
I. Responsible for office supply orders and ensuring timely receipt and adequate levels of inventory. Maintains office supplies inventory records.
J. Submits purchase orders for supplies, visa cards, and other purchases as needed. Assists with tracking various expenditures and providing accurate reports as requested.
K. Responsible for opening the mail on a daily basis and distributing mail to appropriate staff/department. Must identify time-sensitive materials and ensure priority handling. Notifies marketing department of all donations received. Generates a cash receipts control total and log. Must maintain appropriate level of confidentiality at all times.
L. Provides administrative support for other administrative departments in the office as requested to help with critical projects, backlog or other situations as needed.
M. Serves as a backup to the receptionist, to receive incoming phone calls, visitors, and guests according to organizational policies and procedures. Assists with the processing of outgoing mail, including bulk mailings as requested.
N. Performs all duties in a safe manner and adheres to all safety guidelines.
O. Reports progress, problems and concerns to supervisor.
Job Qualifications:
Bachelor's degree and 2 years of relevant experience; or a combination of education and relevant experience that enables the individual to meet expectations, standards and goals of the position.
Must possess a high level of technical skills and proficiency in Microsoft Office Suite products and have experience in or be willing to learn Microsoft Power BI (a business analytics tool).
Must possess excellent time management and organizational skills. Project management experience a plus.
Must possess analytical skills and have the ability to interpret data quickly and accurately.
Must be able make sound decisions and handle to multiple tasks successfully.
Must possess excellent communication skills.
Must present self in a professional manner.
Must be able to work maturely with confidential information.
Ability to prioritize and organize work under minimal supervision.
Ability to work beyond normal schedule as needed.
Must possess a valid and current driver's license and reliable vehicle and have the ability to travel.
Other Relevant Job Information:
Salary Range $21.74 to $23.91 based on experience.
