Description

Function: Support the Executive Director, Clinical Excellence, Chief Medical Officer, and Clinical Excellence Team by providing coordination of various projects including capturing and monitoring department metrics, creating and documenting processes and workflows, identifying opportunities for and improving departmental processes, utilizing tools (e.g. Microsoft Teams) to enhance efficiencies, coordinating efforts to support the ECRI-Penn Evidence-Based Practice Center (EPC) and assisting executives and analysts with other organizational support. Responsibilities

  1. Assist in the creation, management and tracking of metrics/dashboards for the executives, analysts, and contracted clients.
  2. Provide coordination for existing Clinical Excellence processes and support development of new processes as necessary to meet department needs.
  3. Process mapping and visualization of departmental workflow. Facilitate problem solving exercises for team.
  4. Utilize tools (e.g., Microsoft Teams) for management and departmental work flow.
  5. Assists in preparation of proposals:
    1. Creates proposal outline referencing text in the RFP (deadlines, statement of work, proposal instructions, etc.) to be used to make writing assignments in instances where multiple authors will be contributing
    2. Submits client reference requests and maintains follow-up log
    3. Sends solicitations to potential proposal collaborators and maintains follow-up log
    4. Coordinates proposal attachments (CVs, letters of commitment, sample reports, etc.)
    5. Documents workflow throughout proposal development and ensures internal deadlines are met
    6. Assists in managing the Administrative staff in proposal production and assembly.
  6. Maintains an updated log and capacity map of EPC and Clinical Excellence projects, detailing internal and external deadlines and deliverables, maintains project archives, and other necessary material, including conflict of interest disclosures, draft reports, final reports, and meeting minutes.
  7. Maintains up-to-date list of reviewers, clients, and project status logs.
  8. Solicits key informants, technical experts, and peer reviewers for Clinical Excellence projects as required by the client and takes succinct meeting minutes capturing salient points of the discussion. (Process improvement work may change this.)
  9. Maintains liaison with accounting department regarding contract status, invoicing, peer reviewer payment, etc., and distributes billing summary statements in cooperation with accounting.
  10. Maintains honest, professional, useful, and confidential communications with all personnel, consultants, external experts and reviewers, manufacturers, hospital contacts, health plan contacts and government agencies to provide or obtain information concerning projects.
  11. Ensure accuracy and assembly of attachments and enclosures.
  12. Support the Chief Medical Officer, Executive Director, Directors and Associate Directors in project coordination tasks as needed.
  13. Support analysts by collecting and monitoring metrics.
  14. Manage departmental calendar for client deliverables.
  15. Assist with project tasks related to Clinical Excellence functional teams.
  16. Additional department tasks as assigned.
Qualifications

Experience:

  • Minimum experience of 1-3 years' work experience in process management and improvement.
  • Strong organizational skills, attention to detail, problem solving experience and professional manner.
  • Advanced experience with data collection and analysis, and spreadsheet development and maintenance.
  • Excellent writing and analysis skills.
  • Experience managing and prioritizing multiple tasks and working both independently and as part of a team.
  • Excellent customer service skills with internal and external clients.
  • Ability to meet task deadlines and communicate well within the department and company.
  • Flexible, team player who can adjust to and work to improve changing processes.
  • Additional project management / continuous improvement certifications/competencies are a plus.

Education:

  • Bachelor's degree related to business, healthcare, administration or similar field.
  • MBA or equivalent preferred

Computer Skills: Proficient with Microsoft Office 2016+. Computer proficiency with Microsoft Office products, Word, SharePoint, Visio, Power Point, and strong knowledge of Excel.
