Job Description
The 1.3-million-member United Food and Commercial Workers International Union (UFCW), a powerful voice for working men and women, is seeking a General Office Clerk IV to act as the account representative for some of UFCW’s overhead service accounts and assists with secretarial overflow work and special projects, as assigned. The position also provides clerical support to departments and offices. (on-site)

DUTIES AND RESPONSIBILITIES
  • Assumes general secretarial duties for the Operational Support and Services Office, including but not limiting to typing, filing, researching inquiries received, distributing inter-office mail, organizing documents in OSS SharePoint library and preparing routine correspondence for the Office Director.
  • Acts as primary point of contact for several overhead service accounts, including processing payments, resolving discrepancies supporting employee users, maintaining agreements and service account files.
  • Responsible for reconciliation of American Express Corporate Purchasing card invoices. Reviews American Express related check requests from other headquarters offices and departments and regional offices, for accuracy and completeness.
  • Assists with the setup, arranging and maintaining the office files. 
  • Acts as primary contact to office supplies vendor and facilitates the ordering process for online users.
  • Acts as one of the leads in handling ergonomic evaluations, including scheduling appointments, completing assessments, preparing summaries and ordering equipment.
  • Assists with the setup and coordination of events overseen by the Operational Support and Services Office, including but not limited to the holiday party, Bring Your Child to Work Day, the UFCW Wellness Program events, Labor Night and the Black History Month Program.
  • Assigned by the Office Director to other departments and offices as requested by the President’s Office or the Human Resources Office to provide coverage during absences or for special projects.
  • Assumes duties, for departments and offices including, but not limited to, typing, preparing, and submitting expense vouchers, filing, faxing, answering and routing telephone calls, organizing daily mail, composing basic correspondence, scheduling appointments, and arranging travel schedules.
  • Performs the administrative functions for the UFCW Fitness Center, including maintaining the posted notices in the Center, receiving and preparing tenants’ fees for deposit, notifying users of changes in hours, monitoring equipment condition, monitoring the general upkeep of the Center and the need for supplies, acting as the primary point of contact for vendors, overseeing routine maintenance and repairs of Fitness Center equipment and assigning lockers and assisting users as needed.
  • Assists with the setup of the workstations for new employees.
  • Maintains equipment and other inventories such as cable boxes, mail machines, office chair purchases and service agreements including updating reports, monitoring assignments and maintaining files. 
  • Maintains first aid kits which are placed throughout the building.
  • Assists with training for Receptionist and Building Assistant.
  • Assists with the maintenance of various monthly listings.
  • Reserves conference room as needed for any Operational Support and Services Office event.
  • Acts as point-of-contact for the union seals ordering and teleconferencing account.
  • Orders equipment and furniture as instructed by Director.
  • Orders supplies for the Operational Support and Services office and staff.
  • Prepares signs and notices as needed.
  • Provides spontaneous assistance to Director on projects and other OSS related functions and events.
  • Provides back-up to the reception area, Building Assistant and assists GOC V.
  • Maintains daily contact with their home department and communicates with their director throughout all back-up assignments.
  • Must be punctual and timely in meeting requirements of performance, including, but not limited to,   attendance requirements and work deadlines.          
  • Must develop and maintain courteous and effective working relationships with employees at all levels of the organization, tenants and representatives of external organizations.
  • Protects the International operations by maintaining the confidentiality of any information that may be of a sensitive or confidential nature.
QUALIFICATIONS
  • One year of previous office experience. Knowledge of the organization's structure, policies and procedures is preferred, but not required.
  • Keyboarding of 40 words per minute. Ability to use MS Word and Excel.
  • Ability to compose basic correspondence.
  • Must be able to learn how to perform administrative and general support duties of a highly responsible and/or confidential nature.
  • Must be eager to broaden knowledge of organizational processes and procedures, as well as skill level in relevant software packages.
  • Must have excellent organizational skills and be able to prioritize work assignments.
  • Must be self-directed and demonstrate strong attention to details.
