The scope of this job is to provide administrative support to the ANSI International Policy Department in the administration and implementation of ANSI’s international projects and development programs. This primarily includes coordinating logistics arrangements for training workshops and seminars, including virtual events. In addition, the position will support the other administrative functions such as organizing preparatory meetings, making travel arrangements, and supporting project reporting.
Essential Functions
Coordinate meeting arrangements for events of 50-100 participants, average, including solicitation of venue proposals, coordination of vendors such as interpreters, photographers, and A/V
Virtual meeting coordination, including:
Create, customize, and configure virtual event registration pages using ANSI’s event management platform
Support the development of materials such as Best Practices, FAQs, and training slides to support meeting hosts, speakers, and other staff
Support International Development team in identifying and recommending appropriate platforms and features to use for different types of events, such as meeting, webinar, pre-recorded webinar, conference, training, breakout rooms, whiteboard, Q&A, polls, etc.
Manage communications with presenters and hosts to ensure they have the correct equipment (mic, camera) and test internet connectivity, and liaise with management to procure equipment as needed
Schedule and execute rehearsals in advance of live events to ensure all parties are prepared for success
Serve as event host and/or moderator during the rehearsal (as needed)
Offer assistance and guidance with any attendee connection issues, as well as basic technical support during an event
Generate and download reports following events: registrant, attendee, polling responses, and Q&A
Prepare travel arrangements for experts and delegates participating in training activities, including airfare and hotel accommodation.
Contributes to the ANSI International Policy Department’s project management mechanisms, including project accounting, schedules, budgets, etc.
Helps to ensure that ANSI’s international projects and development initiatives effectively communicate and promote U.S. policies and positions for standards and conformance.
Keeps supervisor informed of activities and developments in the assigned program areas.
Performs other duties and carries out special projects as necessary, including support for the Vice President, International Policy.
Information Security Responsibilities
Attend/complete assigned information security training by the designated completion date.
Read and adhere to published ISMS policies and procedures.
Report timely any observed violations of ISMS policy - or known encroachments on information security - to your department leader and/or the Information Technology Department.
Education and Experience
Bachelor’s Degree or equivalent experience
2 years experience with meeting coordination
Other Qualifications
High attention to detail and organizational skills
Must possess outstanding written and verbal communication skills.
Proficiency with common virtual meeting tools (Webex, Zoom, MS Teams), and demonstrated competency with event management
Must be able to exercise discretion and solid judgment when operating in highly political environments.
Team player with the ability to interact with all levels of the organization.
International experience preferred, particularly in emerging economies
Knowledge of project management procedures and tools a plus
Proficiency in MS Office including Word, MS Mail/Exchange, Excel, PowerPoint, and the Internet.
Starting compensation will be in the $67,500 to $74,500 range, depending on education, experience, and other qualifications.
